REPORTS TO: Senior Manager of Engagement & Events
FLSA STATUS: Exempt, 20 hours per week (.5 FTE)
Pay Range: $25,000- $28,000, annually
Position Summary
The Alumni Relations Coordinator is responsible for building and growing the Great Hearts Foundation's alumni engagement program. This position will develop and implement strategies that foster alumni engagement, strengthen relationships with graduates across the network, and cultivate a lifelong affinity for the Great Hearts brand.
Working closely with academy leadership, college counselors, Development, Marketing, Data Services, and volunteers, the Alumni Relations Coordinator will establish scalable alumni programs that support networking, mentorship, volunteerism, communications, events, and future philanthropic engagement.
As Great Hearts continues to expand nationally, this role will develop systems, resources, and best practices that create a consistent alumni experience across all academies.
Alumni Program Development
- Assess current alumni engagement efforts across Great Hearts academies and identify opportunities to establish consistent network-wide practices.
- Develop and implement a network-wide alumni engagement strategy in partnership with the Director of Engagement & Events.
- Develop scalable alumni programming that supports continued growth as new academies graduate students.
- Create annual goals, engagement strategies, and implementation plans for alumni initiatives.
- Recommend new programs and opportunities that strengthen lifelong connections to Great Hearts.
Alumni Outreach & Relationship Management
- Build meaningful relationships with alumni through personal outreach, meetings, visits, phone calls, and virtual engagement.
- Recruit, train, and support alumni ambassadors who serve as advocates for Great Hearts within their local communities.
- Develop opportunities for alumni leadership through volunteer service and advisory roles.
- Maintain regular communication with alumni to strengthen engagement and encourage continued involvement.
Events & Community Engagement
- Plan and coordinate alumni engagement opportunities, including reunions, networking events, regional meetups, campus visits, socials, and volunteer opportunities.
- Support alumni participation in academy celebrations, network-wide events, and membership based programs such as the Leadership Society.
- Collaborate with academy leaders to create meaningful opportunities for alumni to reconnect with their schools.
Alumni Data & Records Management
- Partner with college counselors, academy leadership, and various data teams to identify, locate, and maintain accurate alumni records.
- Develop strategies for collecting, updating, and maintaining alumni contact information.
- Assist in building and maintaining a comprehensive alumni database within the Great Hearts donor database.
- Monitor alumni engagement metrics and prepare reports measuring program effectiveness.
Communications & Digital Engagement
- Partner with the marketing team to develop alumni communications, newsletters, social media content, and digital engagement strategies.
- Support the development of alumni webpages, online communities, and digital networking opportunities.
- Share alumni success stories that celebrate the impact of a Great Hearts education.
- Develop communication strategies that encourage ongoing alumni participation.
Future Philanthropic Engagement
- Partner with Regional Development teams to identify alumni with philanthropic capacity and facilitate appropriate introductions.
- Develop strategies that encourage a lifelong culture of philanthropy among alumni.
- Assist with alumni giving campaigns and solicit funds as the program continues to mature.
Cross-Functional Collaboration
- Collaborate with academy Headmasters, college counselors, Development teams, Marketing, Enrollment, and Data Services to strengthen alumni engagement efforts.
- Partner with Development leadership to integrate alumni into broader Foundation initiatives.
- Support regional and network-wide engagement activities that connect alumni with current students and families.
Qualifications
Education: High school diploma required. The preferred candidate will be actively pursuing or have obtained a degree in higher education.
Experience
- One to three years of experience in alumni relations, nonprofit development, higher education advancement, community engagement, communications, event planning, or relationship management preferred.
- Experience coordinating events or volunteer programs preferred.
- Experience using CRM or constituent databases preferred.
Employment is contingent upon successful completion of a criminal history background check and fingerprint clearance in accordance with state requirements.
Travel required: May need to travel locally for training and professional development opportunities.
