Job Overview:
We are seeking an Executive Administrative Assistant to provide primary support to the Executive Vice President, Chief Talent Officer, while also providing full administrative support to selected Senior Vice Presidents across the People Leadership Team. This highly visible role creates leverage for senior leaders by protecting their time, strengthening coordination, and keeping important commitments moving.
More than traditional administrative support, this role serves as the “oil in the engine” of the People Leadership Team: keeping priorities aligned, routines running seamlessly, and ensuring no critical detail is overlooked. You will understand leaders’ priorities, teams, operating rhythms, and business objectives and use that context to anticipate needs, manage complex logistics and communications, and help the team move with clarity and confidence.
You will be a trusted partner to senior leaders: exercising sound judgment, handling highly confidential information with discretion, anticipating what is coming, and spotting conflicts or dependencies before they become blockers. In a fast-moving environment with competing priorities, you will create the structure, and follow-through leaders need to operate at their best.

Responsibilities:
- Provide comprehensive executive administrative support to the EVP and selected SVPs, including complex calendar management, domestic & international travel coordination, Concur travel and expense management, meeting planning, and day-to-day executive support.
- Protect and prioritize executive time by evaluating requests against leadership priorities, anticipating conflicts and dependencies, and proactively resolving, redirecting, or escalating issues before they become blockers.
- Coordinate leadership meetings, offsites, town halls, team events, and other high-impact activities, including agendas, logistics, preparation, materials, and follow-through.
- Draft, edit, and produce presentations, executive communications, agendas, reports, and meeting materials.
- Track commitments and action items, coordinate follow-up, and surface stalled items or dependencies requiring leadership attention.
- Serve as a trusted point of coordination across leaders, partners, and internal and external stakeholders, ensuring requests and information reach the right people.
- Partner closely with other Executive Assistants and Administrative Assistants to coordinate leadership activities, provide seamless coverage, and strengthen administrative practices such as coverage plans, executive-preference documentation, delegation norms, and shared systems.
- Exercise exceptional judgment and discretion when navigating competing priorities, complex situations, and sensitive information.
- Identify repetitive or inefficient administrative workflows and explore Microsoft tools, automation, and AI-enabled solutions that reduce friction and improve efficiency.
- Deliver thoughtful, professional experiences for employees, candidates, leaders, and business partners while maintaining a consistently high standard of accuracy and attention to detail.

Requirements:
- 6+ years of Executive Assistant or Executive Administrative Assistant experience supporting senior leaders.
- Demonstrated experience providing primary support to an EVP or C-suite executive while supporting multiple senior leaders in a highly visible, fast-paced, or complex environment.
- Proven ability to manage complex and frequently changing calendars while prioritizing competing requests and aligning executive time to the highest-impact work.
- Experience coordinating complex domestic and international travel, meetings, events, expenses, and executive planning.
- Exceptional organizational and prioritization skills with strong attention to detail and follow-through.
- Strong written and verbal communication skills, including experience preparing executive communications, presentations, agendas, reports, and meeting materials.
- Strong cross-functional relationship-building skills and comfort coordinating across multiple teams, levels, and administrative partners.
- Excellent judgment and a demonstrated ability to handle highly sensitive and confidential information with discretion.
- Advanced proficiency in Outlook, PowerPoint, Excel, Word, and other Microsoft Office applications.
- A positive attitude, sense of humor, collaborative mindset, and genuine commitment to helping others succeed.

Pay Range:
$26.49-$44.12/hour
