The Administrative & Systems Coordinator serves as a key contributor to the development and launch of Excellerate Products' Aftermarket Parts & Services (AMPS) business.

This position is responsible for supporting the implementation and administration of aftermarket business systems, including the parts catalog platform, Salesforce CRM, reporting tools, product data management, and operational processes. The role will coordinate cross-functional activities required to establish a scalable aftermarket business while supporting catalog development, data integrity, reporting, customer support administration, and continuous improvement initiatives. During the startup phase of the AMPS organization, this individual will play a critical role in building the foundational infrastructure required to support future customer-facing sales, service, warranty, and parts operations.

MINIMUM REQUIREMENTS

Education: Associate's Degree or Bachelor's Degree in Business, Operations, Engineering Technology, Supply Chain, Information Systems, Data Analytics, or a related field.

Experience: 2+ years of experience in administrative coordination, operations support, sales support, engineering support, project coordination, or data management.

Travel: 0-15%

Work Schedule: Ability to work a flexible schedule is necessary. Typical work hours are between 7:00 a.m. and 5:00 p.m. Monday - Friday.

KEY RESPONSIBILITIES

Business Systems & Aftermarket Readiness

- Support implementation and administration of business systems and tools.
- Support Salesforce development including dashboards, reports, workflows, user testing, training documentation, and data management with BT’s involvement.
- Coordinate activities required for ERP, CRM, and catalog system integration initiatives.
- Assist in building scalable processes supporting long-term aftermarket growth.
- Support new product introduction (NPI/NPD) readiness activities from an aftermarket perspective.

Parts Catalog & Product Data Management

- Assist in building and maintaining the aftermarket parts catalog.
- Coordinate collection of engineering drawings, bills of material, service documentation, and technical product information.
- Manage exploded views, assemblies, and component relationships using CAD models and engineering documentation. (as needed)
- Support development of spare parts recommendations and service parts lists.
- Validate item master and part number accuracy across systems.
- Assist with parts categorization, product descriptions, images, technical attributes, and configuration information.
- Coordinate ongoing catalog maintenance and revision activities.
- Support migration and management of product content within aftermarket catalog platforms.

Salesforce Administration & CRM Support

- Maintain customer, account, contact, and opportunity data integrity.
- Support dashboard development and KPI reporting.
- Create and maintain reports for sales, management, and operational teams.
- Assist with Salesforce process documentation and workflow development.
- Support user onboarding, training, and troubleshooting.
- Conduct data audits and identify opportunities for data improvement.
- Partner with sales leadership to improve CRM effectiveness and adoption.

Data Analytics & Reporting

- Develop and maintain aftermarket operational and sales reports.
- Build KPI dashboards supporting management decision-making.
- Analyze customer purchasing activity, parts sales trends, and quote performance.
- Support forecasting and inventory planning initiatives.

Order Administration & Business Support

- Support customer order administration activities.
- Review customer purchase orders for completeness and accuracy.
- Assist with sales order entry and order documentation processes.
- Maintain customer-facing order tracking information.
- Coordinate order status communication and documentation.
- Assist with customer records maintenance across business systems.
- Help develop administrative processes supporting future sales growth.

Process Documentation & Continuous Improvement

- Develop and maintain SOPs, Work Instructions, process maps, and training materials.
- Support ISO-compliant document control activities.
- Manage document revisions and process libraries.
- Identify opportunities for process improvement and automation.
- Support implementation of best practices across the AMPS organization.
- Participate in cross-functional continuous improvement initiatives.

- Act as a liaison between:  Engineering

- Supply Chain
- Service
- Customer Service
- Sales
- Information Technology

- Performs other related duties as required and assigned.
