Automotive Warranty Administrator Responsibilities and Qualifications:
The Automotive Warranty Administrator is responsible for accurately processing, submitting, tracking, and reconciling warranty claims while ensuring compliance with manufacturer and dealership requirements. This individual will work closely with Service Advisors, Technicians, Parts, and Management to ensure warranty repairs are properly documented and submitted in a timely manner.
Process and submit automotive warranty claims accurately and in a timely manner
Review repair orders for warranty eligibility and proper documentation
Ensure all warranty claims meet manufacturer requirements and guidelines
Verify labor operations, parts, mileage, dates, authorization numbers, and other required information
Review technician documentation to ensure warranty repairs are properly supported
Work closely with Service Advisors and Technicians to obtain missing information or documentation
Review repair orders for accuracy before submitting warranty claims
Track submitted claims and follow up on rejected, returned, or unpaid claims
Research and correct rejected or disputed warranty claims
Resubmit corrected claims when necessary
Maintain accurate records of warranty claims and supporting documentation
Monitor outstanding warranty receivables and assist with timely collection
Reconcile warranty claims and payments with dealership accounting records
Process warranty parts returns and ensure parts are retained, tagged, and stored according to manufacturer requirements
Maintain proper documentation for warranty audits
Assist with warranty audits and provide requested documentation
Stay current on manufacturer warranty policies, procedures, and program updates
Ensure warranty claims are submitted according to manufacturer time limits
Monitor warranty labor operations and ensure proper labor times are being claimed
Verify that parts and labor billed on warranty repairs are consistent with manufacturer guidelines
Communicate with manufacturer warranty representatives regarding claim questions or discrepancies
Assist Service Advisors and Management with warranty-related questions and concerns
Identify recurring claim issues and communicate them to Service Management
Help minimize warranty claim rejections and chargebacks
Maintain confidentiality of customer and dealership information
Ensure all warranty-related processes comply with dealership policies and manufacturer standards
Maintain a clean, organized, and professional work area
Work closely with the Service, Parts, and Accounting Departments to ensure accurate and efficient warranty processing
Report any situation that could jeopardize the safety, welfare, or integrity of the dealership, customers, or employees
Follow all federal, state, and local laws, as well as company policies and procedures
Participate in manufacturer and dealership training programs as required
Maintain a professional and positive work environment focused on teamwork, accuracy, accountability, and customer satisfaction
Automotive Warranty Administrator Requirements:
Previous automotive warranty administration or dealership experience preferred
Strong knowledge of automotive warranty claims and repair order procedures
GM dealership experience is a plus
Experience with GM warranty policies and procedures is preferred
Strong attention to detail and accuracy
Excellent organizational and time-management skills
Ability to review and process a high volume of repair orders
Strong written and verbal communication skills
Ability to work effectively with Service Advisors, Technicians, Parts, Accounting, and Management
Strong computer skills and ability to learn dealership management systems
Experience with CDK, Reynolds & Reynolds, or other dealership management systems is a plus
Ability to research and resolve rejected or disputed warranty claims
Strong problem-solving and analytical skills
