Position Summary

The Equipment Fleet Manager – Systems & Operations is responsible for overseeing fleet data, utilization, cost controls, administrative processes, technology platforms, and operational reporting for LEMOINE's company-owned and rented equipment fleet.

This position works closely with the Equipment Department, project teams, Superintendents, Project Managers, Finance, Accounting, Safety, and field personnel to maintain accurate fleet information, improve equipment-utilization visibility, support cost-effective fleet decisions, and strengthen fleet-management processes.

A major focus of this position is the effective use and integration of fleet-management technology, including Tenna, Vista, GPS, telematics, and related systems. The Fleet Manager will help ensure accurate data, reporting, system integration, user adoption, and operational insight across LEMOINE's Infrastructure operations.

The ideal candidate combines construction-equipment knowledge with strong experience in fleet systems, telematics integration, equipment utilization, financial reporting, process improvement, and team leadership.

Key Responsibilities

Fleet Systems, Technology and Data Integration

- Administer and support fleet-management systems, including Tenna, Vista, GPS, telematics platforms, and other related equipment-management technology.

- Support the integration of Tenna and Vista software to improve the accuracy, availability, and use of fleet, equipment, utilization, and cost data.

- Lead or support telematics software integration initiatives, including data validation, configuration, user access, reporting requirements, and ongoing system improvements.

- Maintain accurate equipment records, including equipment identification, assignment, utilization, operating hours, location data, ownership status, rental status, and associated cost information.

- Ensure equipment-related technology, software licenses, GPS services, and telematics charges are accurately tracked and managed.

- Develop standardized processes for entering, maintaining, reviewing, and reporting fleet data across Infrastructure operations.

- Evaluate fleet-management technology and recommend improvements that increase data accuracy, reporting capabilities, operational visibility, and efficiency.

- Work with internal stakeholders and software providers to resolve system issues, improve integrations, and support user adoption.

- Provide training and ongoing support to equipment, project, and field personnel on fleet-management software, telematics tools, and reporting processes.

- Develop dashboards, reports, and performance metrics that provide leadership with actionable fleet information.

Equipment Utilization and Cost Management

- Monitor equipment utilization across active projects and identify opportunities to improve fleet efficiency.

- Analyze company-owned versus rented equipment usage to support cost-effective operational decisions.

- Review rental duration and utilization data to identify equipment that may be returned, reassigned, or otherwise evaluated based on project needs and usage trends.

- Develop strategies to reduce unnecessary rental costs, idle equipment, and avoidable fleet expenses.

- Prepare and review weekly and monthly equipment-utilization reports.

- Monitor fixed and controllable fleet costs and provide recommendations for improving cost performance.

- Review equipment operating costs, rental expenses, fuel usage, downtime trends, and other fleet-cost indicators.

- Assist leadership with budgeting, forecasting, fleet-cost planning, and financial reporting.

- Prepare and present fleet-performance information to Infrastructure leadership.

- Support month-end financial reconciliation and reporting for fleet operations.

- Identify data trends, reporting gaps, and process-improvement opportunities that support informed fleet-management decisions.

Fleet Administration and Compliance

- Oversee purchase orders associated with equipment rentals, parts, technology, fleet operations, and other assigned equipment-related expenses.

- Ensure equipment-related purchases follow company accounting and approval procedures.

- Review rental invoices, equipment charges, software charges, and related fleet expenses for accuracy.

- Support monthly reconciliation of fleet-related accounts and financial records.

- Manage vehicle and equipment registrations, insurance documentation, permits, and other required fleet records.

- Maintain accurate records related to equipment rentals, fleet assets, utilization, cost activity, telematics services, and equipment-management technology.

- Ensure compliance with applicable company policies, fleet-record requirements, and regulatory documentation standards.

- Support audits, internal reviews, and reporting requests related to fleet records, equipment costs, technology platforms, and utilization data.

Operational Support and Process Improvement

- Partner with Superintendents, Project Managers, and Infrastructure leadership to review upcoming project needs and equipment-utilization trends.

- Support project teams by providing accurate equipment information, utilization reports, rental-status information, and fleet-related data.

- Identify idle or underutilized equipment and provide recommendations to leadership based on utilization and project requirements.

- Develop and maintain standardized fleet-management procedures that can be consistently applied across Infrastructure projects.

- Improve communication, reporting, and data visibility among the Equipment Department, project teams, and leadership.

- Support safe and efficient equipment operations by ensuring accurate equipment information and fleet records are available to appropriate stakeholders.

- Participate in investigations involving fleet incidents, equipment damage, or data discrepancies when necessary.

- Perform other duties as assigned.

Leadership and Team Development

- Provide leadership and direction to Equipment Fleet Coordinators, fleet administrators, and other assigned fleet-support employees.

- Establish clear responsibilities, priorities, performance expectations, and reporting standards for fleet personnel.

- Coach and develop team members in fleet systems, telematics, equipment utilization, reporting, administrative processes, and fleet-management best practices.

- Promote accountability, communication, teamwork, urgency, and operational excellence.

- Coordinate closely with Infrastructure leadership to continuously improve fleet processes, reporting, and technology utilization.

- Identify staffing and resource needs based on fleet growth, technology requirements, and project demands.

Qualifications

- Education: High school diploma or equivalent required; bachelor's degree in Business, Construction Management, Fleet Management, Information Systems, Accounting, or a related field preferred.

- Experience: Minimum of 7 years of fleet, equipment-management, construction operations, fleet systems, telematics, or related experience, with progressively increasing responsibility.

- Previous leadership or supervisory experience within fleet, equipment, construction operations, fleet administration, or related functions strongly preferred.

- Experience supporting heavy civil, infrastructure, industrial, or large-scale construction operations strongly preferred.

- Strong working knowledge of construction equipment, equipment utilization, equipment rentals, fleet-cost controls, and fleet-record management.

- Demonstrated experience using fleet-management technology, GPS, telematics systems, and equipment-management software.

- Experience with Tenna and Vista software integration, administration, reporting, or data-management processes preferred.

- Experience with telematics software integration, including implementation, data validation, reporting, system configuration, and user adoption preferred.

- Strong understanding of fleet utilization, equipment cost management, rental management, and financial-control principles.

- Ability to interpret fleet financial data, budgets, utilization reports, rental costs, fuel usage, downtime trends, and operational data.

- Strong leadership, communication, organizational, analytical, and problem-solving skills.

- Ability to make timely decisions and manage changing priorities in a fast-paced construction environment.

- High level of proficiency with Microsoft Excel, Word, Outlook, fleet-management technology, reporting tools, and data-analysis systems.

- Valid driver's license and acceptable driving record.

- Ability to travel regularly to project sites, equipment yards, and other company locations.

Preferred Qualifications

- Experience managing fleet systems, fleet data, or equipment-utilization reporting across multiple construction projects or geographic locations.

- Experience managing large fleets of company-owned and rented heavy construction equipment.

- Experience with Tenna, Vista, GPS, telematics, and other fleet-management platforms.

- Experience leading software-integration initiatives involving fleet-management, telematics, financial, or construction-management systems.

- Experience with equipment lifecycle management, replacement planning, capital-equipment purchasing, or asset-management reporting.

- Experience with budgeting, forecasting, P&L reporting, fleet-cost analysis, and financial reconciliation.

- OSHA 30 certification or other applicable construction or equipment-safety certifications.

- Demonstrated success improving fleet-data accuracy, equipment utilization, reporting visibility, rental-cost management, and fleet-cost performance.

Physical Demands and Work Conditions

- Work is performed in both office and active construction environments.

- Frequent travel between project sites, equipment yards, and other company locations may be required.

- Must be able to walk active construction sites and equipment yards over uneven terrain.

- May occasionally lift or move equipment, tools, or materials weighing up to 50 pounds.

- Regular exposure to outdoor weather conditions, construction equipment, noise, dust, mud, moving vehicles, and other conditions associated with heavy civil construction.

- May be required to work early mornings, evenings, weekends, or extended hours to support critical project or fleet-operational needs.
