Payroll & HR Administrator
Cedar Springs, MI | Full-Time, Permanent | $55,000-$65,000 annually
Position Summary
Hillard Electric is seeking a detail-oriented Payroll & HR Administrator to join our Accounting & Administration Team. This hands-on position combines weekly payroll responsibility with employee administration, benefits, HR processes, employee support, and workforce programs. The ideal candidate is organized, dependable, comfortable in a fast-paced construction environment, and committed to accuracy, confidentiality, deadlines, and strong service to employees and managers.
Key Responsibilities
- Process weekly payroll for approximately 100 field and office employees, including timecard review, pay changes, deductions, garnishments, reimbursements, adjustments, and discrepancy resolution.
- Maintain accurate payroll records; prepare payroll reports and reconciliations; support year-end processing, certified payroll, prevailing wage, and other payroll compliance reporting.
- Coordinate employee onboarding and offboarding, including required documentation, system setup, benefit information, employment changes, and termination administration.
- Maintain complete and confidential personnel files and HR records; process employee status, position, wage/salary, and other employment changes.
- Serve as a day-to-day resource for employees and managers on payroll, benefits, policies, leave, and routine HR questions; support employee-relations documentation and follow-up as appropriate.
- Coordinate performance review cycles, including scheduling, documentation, follow-up, and approved wage/salary changes.
- Administer benefit enrollments, changes, and terminations; support annual open enrollment, benefit communications, and reconciliation of benefit elections and payroll deductions.
- Support 401(k) administration and coordinate employee elections and related payroll changes.
- Coordinate employee leave administration and maintain required documentation and tracking.
- Coordinate apprenticeship program administration, enrollment and recordkeeping, training documentation, and related employee/program follow-up.
- Support employee training and development, workforce-development and training grants, and required tracking/documentation.
- Coordinate and support employee engagement initiatives, recognition programs, company events, and employee communications.
- Assist with HR/payroll compliance, audits, workers compensation documentation, required reporting, and recurring employee/workforce tracking.
- Participate in process improvement, documentation, and cross-training with other administrative team members to provide coverage and continuity as responsibilities evolve.
- Perform other related HR, payroll, and administrative projects as needed.
Qualifications
- Minimum of two years of experience in payroll, human resources administration, or a related administrative role; hands-on payroll experience strongly preferred.
- Experience supporting an hourly or field-based workforce; electrical, construction, mechanical, HVAC, plumbing, or other contractor-industry experience is strongly preferred.
- Experience with UKG or a similar HR/payroll system and Viewpoint Spectrum or similar construction ERP/accounting software preferred.
- Proficient in Microsoft Office, including Excel and Outlook, with strong organizational, communication, time-management, and problem-solving skills.
- High attention to detail, ability to maintain confidentiality, and ability to manage multiple priorities and recurring deadlines while providing responsive employee support.
