Responsibilities
The Legal Assistant provides administrative, organizational, and entry-level paralegal support to the General Counsel and the Corporate Legal Department. This role serves as a key resource in supporting contract administration, litigation management, legal document preparation, corporate compliance activities, records management, and legal department operations.
The Legal Assistant possesses strong organizational skills, attention to detail, sound judgment, and a genuine interest in understanding how an in-house corporate legal department supports business operations, risk management, contract compliance, and dispute resolution across a fast-paced business environment.
Legal Department Administration
- Provide administrative and organizational support to the General Counsel and legal team.
- Maintain legal files, electronic databases, matter management systems, and department records.
- Manage legal department correspondence, document routing, and records retention processes.
- Coordinate meetings, travel arrangements, calendars, and legal department events.
- Prepare presentations, reports, meeting materials, legal summaries, and departmental communications.
- Handle confidential and sensitive information with the highest degree of professionalism and discretion.
Contract Administration & Legal Support
- Assist with contract administration processes, including organizing, tracking, and filing construction contracts, amendments, subcontracts, and related legal documentation.
- Monitor contract execution status and maintain contract databases and tracking logs.
- Support legal review workflows by gathering information, routing documents, and maintaining version control.
- Assist the legal team with preparing standard contract forms, exhibits, notices, and correspondence.
- Coordinate collection of project documents and supporting materials for legal review.
Legal Coordination Responsibilities
- Conduct basic legal and factual research related to construction, contract, compliance, and corporate matters.
- Assist with preparation of litigation, mediation, arbitration, and dispute resolution materials.
- Support responses to discovery requests, including collecting, organizing, reviewing, and tracking responsive documents.
- Prepare document indexes, chronologies, summaries, and matter files for attorney review.
- Assist with legal hold management and document preservation efforts.
- Review and organize project records, correspondence, and contracts for attorney analysis.
- Coordinate with internal stakeholders to gather documentation required for claims, disputes, and legal matters.
- Assist attorneys in preparing contract claims, demand packages, mediation presentations, and case-related materials.
Corporate Governance & Compliance Support
- Support compliance initiatives by maintaining records, certifications, licenses, and regulatory documentation.
- Track legal deadlines, reporting requirements, and department action items.
- Assist with policy administration and legal department process improvements.
- Help maintain templates, forms, and legal resource libraries.
Cross-Functional Partnership
- Develop and maintain strong working relationships with executives, operations leadership, project teams, Human Resources, Risk Management, Finance, subcontractors, and clients.
- Serve as a liaison between the legal department and internal business partners.
- Assist in coordinating special projects and legal initiatives across the Southeast Region.

Qualifications
- 3-5 years of administrative, legal assistant, contract administration, or related professional experience.
- Associate degree with relevant legal, business, or administrative experience.
- Paralegal Certificate or coursework in paralegal studies, legal studies, or business administration.
- Experience supporting an in-house legal department, law firm, construction company, or professional services environment.
- Understanding of construction contracts, claims, risk management, or litigation processes.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and
Outlook.
- Experience with DocuSign, contract management systems, and legal document databases.
- High level of professionalism, discretion, initiative, and attention to detail.
- Excellent written and verbal communication skills.
- Strong organizational, analytical, and time-management abilities.
- Ability to manage multiple priorities while meeting deadlines.
Working Conditions
While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus.
