About this role
The Maintenance Administrative Assistant provides administrative, clerical, data-entry, and organizational support to the Maintenance Department. This position is responsible for maintaining accurate maintenance records, entering and tracking work orders, assisting with purchasing and parts documentation, maintaining equipment and inventory records, and supporting the daily administrative needs of maintenance leadership and technicians.
This is primarily an administrative position and does not require the employee to perform equipment repairs, diagnose equipment problems, or make technical maintenance decisions.

REQUIRED SKILLS AND COMPETENCIES
- Strong computer and data-entry skills with a high level of accuracy.
- Strong attention to detail and ability to maintain accurate records.
- Proficiency with Microsoft Excel, Outlook, Word, and similar office software.
- Ability to learn and effectively use computerized maintenance management systems (CMMS).
- Strong organizational, filing, and recordkeeping skills.
- Ability to prioritize and manage multiple administrative tasks in a fast-paced environment.
- Ability to follow established procedures and instructions.
- Effective written and verbal communication skills.
- Ability to communicate professionally with maintenance employees, supervisors, vendors, Purchasing, and other departments.
- Dependable, punctual, organized, and able to maintain confidentiality when handling company information.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required.
- Previous administrative, clerical, data-entry, purchasing, or inventory-related experience preferred.
- Experience with purchase orders, parts inventory, or recordkeeping preferred.
- Manufacturing, warehouse, or industrial experience is preferred but not required.
- Previous experience with a CMMS or maintenance work-order system is a plus.
- Technical maintenance experience is not required .
