Description
The Service Coordinator is responsible for the daily execution and coordination of service operations, including service ticket management, technician scheduling, dispatching, billing support, and vendor coordination. This role ensures service requests progress efficiently from intake through completion while maintaining accurate documentation and communication with clients, technicians, and internal teams. The Service Coordinator serves as the operational hub of the Service Department, supporting timely delivery service and high-quality customer experience.
Responsibilities
- Create review and update service work order and client records
- Schedule and dispatch technicians
- Monitor and follow up on open service calls
- Provide client status updates
- Review upcoming schedules and resolve conflicts
- Verify completed service documentation
- Process invoices, quotes, and change orders
- Track RMAs and vendor activities
- Coordinate with internal teams and subcontractors
- Support departmental reporting and KPI tracking
- Coordinate with Engineering, Project Management, Purchasing, Accounting, and Warehouse teams
- Assist with project closeout and service transition activities
- Support material procurement and subcontractor coordination for service activities
- Ensure operational procedures are followed consistently
Qualifications & Requirements
- Associate degree or 1 year of administrative experience.
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities efficiently.
- Excellent written and verbal communication skills for effective interaction with team members, contractors, and clients.
- Keen attention to detail to maintain accurate records, documents, and reports.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and document management systems. Experience with Database software is a plus.
- Ability to identify issues, troubleshoot, and find solutions promptly.
- Capacity to work effectively in a team-oriented environment, collaborating with diverse professionals.
- Ability to adapt to changing project requirements and handle unexpected challenges with composure.
- Strong time management skills to prioritize tasks and meet deadlines consistently.
