Compliance Coordinator

Quality Moments is seeking a Compliance Coordinator to support compliance processes, documentation requirements, and quality improvement initiatives within Senior Care services provided in skilled nursing facility settings. This role plays a key part in ensuring assigned compliance workflows are completed accurately, consistently, and in accordance with agency standards, regulatory expectations, and established procedures.

Reporting to the Chief Compliance & Excellence Officer, the Compliance Coordinator will initially be responsible for supporting the treatment plan signature process, including monitoring outstanding signature requirements within the electronic health record (EHR), conducting client and staff outreach, documenting follow-up efforts, maintaining accurate tracking, and escalating unresolved items as appropriate. As organizational needs evolve, the position may support additional compliance, documentation, data tracking, monitoring, and quality improvement functions.

This position is well-suited for someone who values accuracy, consistency, confidentiality, and follow-through; is comfortable performing repetitive, high-volume tasks; and can communicate professionally with clients and staff while working independently within structured processes.

Key Responsibilities

· Monitor treatment plan signature requirements within the EHR and designated tracking systems

· Identify outstanding, pending, and completed treatment plan signatures and maintain accurate tracking through resolution

· Conduct professional outreach to staff and, when appropriate and authorized, guardians or representatives to facilitate treatment plan review and signature completion

· Make routine outbound telephone calls and send approved email or secure electronic communications as part of assigned follow-up

· Provide clear instructions regarding approved methods for accessing, reviewing, and signing treatment plans

· Document outreach attempts, client responses, barriers, and outcomes accurately and timely

· Follow established procedures when a client is unable, unavailable, or unwilling to provide a signature

· Communicate with Senior Care staff and leadership when additional assistance is needed to resolve an outstanding requirement

· Escalate unresolved or unusual compliance concerns to the Chief Compliance & Excellence Officer

· Maintain tracking systems, spreadsheets, work queues, and other electronic monitoring tools

· Assist with compiling compliance data, trends, and completion rates for dashboards, PI/QI activities, monitoring, and leadership reporting

· Identify recurring barriers or process concerns and communicate findings to the Chief Compliance & Excellence Officer

· Support routine compliance monitoring, documentation review, and quality improvement activities as assigned

· Maintain strict confidentiality of client, employee, facility, and organizational information and comply with HIPAA and agency privacy and security requirements

· Use only approved systems and communication methods when accessing, documenting, or transmitting protected health information (PHI)

· Collaborate professionally with clinical, operational, quality, and compliance staff across Senior Care services

· Support additional Compliance & Excellence initiatives as organizational needs and assigned responsibilities evolve

Qualifications

· High school diploma or equivalent required

· 1–3 years of experience in healthcare, behavioral health, skilled nursing, long-term care, medical records, compliance, quality assurance, or related administrative work preferred

· Experience working with electronic health records or electronic medical record systems preferred

· Strong attention to detail, organization, accuracy, and follow-through

· Ability to perform repetitive, high-volume, process-driven tasks while maintaining consistency and accuracy

· Comfortable making frequent outbound telephone calls and communicating professionally by email and other approved electronic methods

· Ability to maintain confidentiality and appropriately handle PHI and other sensitive information

· Comfortable working with data tracking tools, spreadsheets, electronic work queues, and EHR systems

· Ability to work independently within established procedures and recognize when an issue requires escalation

· Clear, professional written and verbal communication style

· Ability to adapt as compliance processes, systems, and organizational needs evolve
