Sales Coordinator — Avila Beach House and Pacific Point Resort
As a Sales Coordinator, you will be a point of contact for group functions and bookings at Avila Beach House and Pacific Point Resort . You will coordinate room blocks, rooming lists, amenities, event details, and follow-up while serving as a liaison among clients, the sales team, and guest services teams at both properties. You will communicate with guests, vendors, and coworkers in a welcoming and professional manner.
The ideal candidate has experience in event coordination or hospitality, enjoys solving problems, and can manage competing priorities across two properties. This role offers an opportunity to earn an incentive in the form of a service fee based on qualifying business you book. Wedding planning and event service experience are a plus, as both are part of the role. Come grow with us at these Central Coast properties!
Responsibilities of the Ideal Candidate
- Serve as a point of contact for guests, coworkers, and vendors before, during, and after group events.
- Coordinate rooming lists, room blocks, event setup details, signage, equipment, and amenities.
- Answer group questions and communicate event details between the sales and guest services teams at both properties.
- Build professional, attentive relationships with guests and prospective clients through correspondence, site tours, feedback requests, and thank-you messages.
- Review group reservations and booking status weekly to confirm that information is accurate and room blocks are properly set up.
- Prepare Banquet Event Orders (BEOs) for meetings and events and conduct BEO meetings.
- Become proficient in the systems used by the properties, including RoomKey, Event Temple, and Microsoft Office, and maintain detailed records.
- Follow through on contracts and reservations, including system entries, deposits, and communication with hotel teams.
- Manage group billing and follow up on outstanding invoices.
- Assist with wedding planning and event service as needed.
Starting pay: $22 -$25 DOE

Experience and Education
- At least two years of event coordination or hospitality experience.
- Ability to solve problems in the best interests of guests and the properties.
- Confidence in leading and coordinating groups of people.

- Ability to multitask and prioritize assignments.
- Strong organizational and verbal communication skills.
- Flexibility to work nights, weekends, and holidays as needed.
Physical Requirements
The physical requirements of this position include:
- Frequently lifting or carrying up to 40 pounds to assist guests and support events.
- Standing for extended periods.
- Hearing, understanding, and communicating with staff, vendors, and guests in person, by phone, and in writing.
- Bending, twisting, pushing, pulling, stooping, and kneeling.
- Ascending and descending a ladder.
