About the Role

G.A. Rogers & Associates has been retained to recruit a CPA Firm Administrator for a top-tier, growing accounting firm based in Parsippany, NJ.

Reporting directly to the Chief Executive Officer, this highly visible role will oversee day-to-day operations and manage the administrative team. You will support key functions across financial administration, workflow management, technology, benefits, human resources, and vendor relationships to ensure the firm operates smoothly and efficiently.

This position is ideal for an organized, proactive, and resourceful leader with a strong background in professional services operations.

Key Responsibilities

Leadership & Operations: Work closely with executive leadership to drive operational priorities, coordinate staffing needs, manage office budgets, and lead the administrative support team.

Financial & Performance Administration: Support budgeting, billing, collections, expense reporting, and management reporting. Monitor firm metrics including employee utilization, realization rates, staffing capacity, and workflow deadlines.

Practice & Workflow Management: Oversee practice management software, client onboarding, time-and-billing, scheduling, and tax/audit due-date processes. Resolve workload conflicts in partnership with leadership.

Human Resources & Talent: Lead internal HR functions, talent acquisition, employee benefits coordination, and maintain compliance, CPE tracking, and governance records.

Technology & Vendor Management: Coordinate IT needs, software implementations, cybersecurity compliance, and vendor relationships.

Continuous Improvement: Identify opportunities to optimize processes, increase firm-wide efficiency, and enhance client and employee experiences.

Qualifications

Experience: 2+ years of progressive experience in office management, firm administration, or operations specifically within a CPA or accounting firm .

Team Leadership: Proven track record of direct supervisory experience managing an administrative staff.

Industry Knowledge: Strong familiarity with CPA firm dynamics, including time-and-billing cycles, utilization/realization metrics, and tax/accounting deadline schedules.

Technical Proficiency: Strong computer skills with the ability to quickly adapt to new software systems. Karbon software experience is a strong plus.

Core Competencies: Excellent organizational, project management, problem-solving, and communication skills. High level of discretion handling confidential information.

Education & Credentials: Bachelor’s degree in Business, Accounting, or a related field preferred. CPAFMA, PAFM, SHRM, CPA, or similar certifications are a plus.
