About the Team and the Role

The Workplace Services team plays a key role in supporting the day-to-day office environment, ensuring spaces are functional, welcoming, and aligned with the firm’s culture. The team partners across the organization to manage facilities operations, enhance the employee experience, and coordinate internal events that foster connection and engagement. By delivering reliable service, maintaining high standards and anticipating workplace needs, the Workplace Services team helps create a productive environment for all employees.

The Workplace Services Supervisor plays a vital role in the team dynamic by supporting the organization’s facilities and event operations. This position works to coordinate facility experience, managing event logistics, and delivering high-quality support to both internal teams and external partners.

Essential Duties & Responsibilities

Facility Operations:

- Oversee and supervise day-to-day facilities operations, ensuring offices are clean, safe and functional creating a welcoming office environment that supports a positive employee experience.
- Oversee facility work orders from intake through completion, track service levels, and manage escalations.
- Coordinate with onboarding and offboarding logistics, including workstation setup, parking assignments, and building access.
- Support the management of access control systems by updating badges, permissions, and records for new hires and departing employees.
- Coordinate, alongside the WPS Team, to supervise facility projects such as office moves, reconfigurations, and minor renovations.
- Oversee the day-to-day operations of workplace systems, including Agilquest and Asana to ensure accuracy and daily updates are completed and information is accurate.
- Track inventory of office supplies, furniture, and equipment, and assist with ordering as needed.
- Identify and communicate facility-related issues or improvement opportunities to leadership.
- Follow established safety procedures and assist with maintaining compliance with building policies.
- Act as First Responder for Dean Dorton facilities in the event of an emergency.
- Provide general administrative and operational support for workplace services and facilities initiatives.
- Perform other duties as assigned.

Event Oversite:

- Supervise and manage the firm-wide event intake and planning workflow, ensuring requests are evaluated for objectives, scope, budget, timeline, resources, and firm standards.
- Serve as the central point of contact for all event intake, communicating details with internal clients.
- Research, recommend, and supervise event details including venue, theme, catering, and scheduling.
- Maintain governance of the firm-wide events calendar and identify conflicts, resource constraints and decision points before they affect upcoming events/conflicts.
- Oversee scheduling logistics across multiple offices and stakeholders, balancing competing priorities and resource availability.
- Partner with internal teams to ensure events are properly scheduled, communicated, and supported.
- Establish, develop and enforce standardized processes for event requests, approvals, and calendar management.
- Ensure all event details are documented and updated in real time within scheduling systems and shared calendars.
- Provide regular reporting or updates on upcoming events, scheduling trends, and potential conflicts.
- Source and assist with negotiating contracts for events, including venues, caterers, and other service providers.
- Troubleshoot issues in real time to ensure smooth and successful event execution.
- Provide oversight and coordination for staff involved in event setup, execution, and breakdown.

Requirements

Experience, Qualifications & Requirements

- Bachelor’s degree in hospitality or management, public relations, marketing or related field preferred.
- Three or more years of experience in workplace operations, facilities management, event planning, or a related field is preferred. Experience coordinating vendors, managing multiple projects, and supporting events or office operations is a plus.
- Strong critical thinking skills required.
- Excellent communication and interpersonal skills, with the ability to effectively interact with diverse stakeholders at all levels, building successful interpersonal relationships.
- Must be able to lift, carry, push, or move items weighing up to 50 pounds and remain standing or walking for extended periods while supporting events, office moves, and facility-related projects.
- The role may also require bending, reaching, climbing stairs, and assisting with event setup and breakdown, with or without reasonable accommodation.

Software & Tools

- MS Office including building customized forms for data collection, intake and developing reports from acquired data.
- Familiarity with project management software like Asana or Airtable
- Comfort using AI to create daily efficiencies

Travel

- Moderate travel is required, making regular trips between our 5 markets in Lexington, Louisville, Cincinnati, Indianapolis and Raleigh.
