About the Role
RTM is looking for a part-time Office and Community Coordinator to keep our Midtown office running smoothly while also playing a visible role in our brand and community presence. This is a part-time in-office role, four days a week (Monday,
Tuesday, Wednesday and Thursday).
Beyond core office and reception duties, this person will serve as RTM’s liaison to the external charity and community partners we work with. It’s a great fit for someone who is exceptionally organized but also wants a role with a creative, people-facing edge, not just an administrative one.
Essential Duties and Responsibilities (other duties may be assigned)
Office Operations & Facilities
- Greet employees and visitors; answer, screen, and route incoming calls.
- Collect, distribute, and scan daily mail, packages, and vendor checks to the appropriate internal teams.
- Manage and restock office inventory, kitchen snacks, bathroom hygiene products, and conference room supplies
- using designated Amazon and Staples accounts.
- Serve as the primary point of contact for building management (the Building Super), maintenance and cleaning
- services, and office vendors.
- Coordinate office maintenance, repairs, and facility improvements; keep conference rooms, common areas, and
- workspaces functional, organized, and well maintained.
- Track operational expenses and confirm supply budgets with Finance before purchasing.
- Document and maintain office procedures, workflows, and standard operating procedures.
Employee Experience & Culture
- Track monthly HR data to celebrate birthdays and work anniversaries on shared calendars; coordinate company-
- approved gifting, milestone gift cards, and sympathy gifts.
- Organize monthly hybrid and remote company lunches — coordinating calendar invites, running restaurant
- selection polls, and managing group orders within budget.
- Coordinate internal employee team-bonding events — happy hours, seasonal get-togethers, and other social
- gatherings that keep our team connected.
- Support culture-driven initiatives alongside leadership, including seasonal sports leagues, the RTM Field Day, the
- Company Retreat, and the Winter Holiday Party.
- Keep internal company calendars and visual Canva calendars current for events, trainings, holidays, and
- employee programs.
- Serve as a go-to resource for employees on workplace operations and office-related needs.
Charity & Community Partnerships
- Serve as RTM’s point of contact for external charity and nonprofit partners.
- Coordinate joint initiatives: volunteer days, donation drives, sponsorships, and event logistics.
- Schedule and follow up on meetings, keep partners informed, and track commitments and deliverables on both
- sides.
- Help surface and evaluate new community partnership opportunities that align with RTM’s values.
- Coordinate internal communication and calendaring around charity initiatives so employees can get involved
Requirements
Required
- Professional experience in office management, operations coordination, or administrative support.
- Proven track record of running the day-to-day of an office, managing vendors, supplies, facilities, budgets, and mail/reception with minimal oversight.
- Exceptional organization and the ability to juggle multiple priorities and deadlines independently.
- Strong written and interpersonal communication skills, with a polished, professional presence for visitors, employees, and outside partners.
- Highly proficient in Google Workspace (G-Suite), with the technical competency to manage digital account logins and coordinate basic IT logistics. Comfortable creating and posting simple social content under direction (Canva or similar is a plus) — no professional social media background required.
- A proactive self-starter who collaborates well across teams and communicates openly.
- Based in the NY / NJ / CT area with the ability to work on-site in Midtown Manhattan four days a week.
Preferred
- Experience supporting employee engagement, workplace culture, or events programming.
- Experience coordinating with external partners, vendors, or nonprofit / community groups.
- Familiarity with design and social tools like Canva (Adobe Creative Suite a bonus).
- Background supporting live B2B events, trade shows, or conferences.
- A genuine enthusiasm for community building and purpose-driven work.

Annual Compensation: $45,000 plus quarterly bonuses
