The purpose of this position is to support the Facilities Management Services function. This position provides vendor management support of onsite services and amenities in an energetic and fast-paced environment. This role requires an expert multi-tasker that will go above and beyond to provide the best service to our internal customers. The role will be expected to build and maintain strong vendor relationships to maximize performance and value delivered according to the vendor’s scope of work.
A Day in the Life:
Landlord Management:
- Coordinate Landscaping and Snow Removal interface to landlords
- Coordinate Window Washing by landlords
- Issue Sitewide communications regarding landlord work
Security Management:
- Build and manage relationships with Contracted security vendor
- Ensure vendors are performing services according to SOW
- Coordinate site level work with Global Security Operations Center (GSOC)
- Issue Sitewide communications regarding Security work
- Oversee daily operations of security for the site
- Print, issue, and track employee badge access and system
- Maintain and repair badge readers
- Perform monthly and quarterly access audits per SOP
- Maintain and repair surveillance cameras and system
- Perform badging and training for site service vendors
- Maintain visitor logs and visitor management system

Vendor Management:
- Build and manage relationships with site vendors
- For vendors under direct oversight, ensure services meet SOW intent
- Participate in RFPs for new assigned vendors as needed
- Develop and maintain quarterly KPIs for assigned vendors
- Conduct business reviews with vendors on a quarterly basis
- Communicate and track service issues for resolution
- Plan and coordinate installation of assigned services in new space
- Ensure vendors work within scope of assigned budgets - Micro Market and Beverage Service - Event Logistics and Catering - Shredding services - Common area Janitorial Services
Keys to Success:
- High / Secondary school diploma or equivalent and relevant formal academic / vocational qualification
- Technical positions may require a certificate
- Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 6 years).
In some cases, an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.
Knowledge, Skills, and Abilities:
- Experience managing vendors and/or amenity services
- Experience working in a corporate environment
- Advanced understanding of Microsoft Excel, Outlook, PowerPoint and Word
- Ability to communicate clearly and professionally both in writing and verbally
- Ability to work independently and cross-functionally in a dynamic environment
- Project management skills to handle multiple projects, concurrently, with minimal supervision
- Ability to interface with all levels of the company in a professional manner.
- Exceptional problem-solving skills
- Willingness to complete a broad range of administrative responsibilities ranging from entry to senior-level
