About the Role:
This role reports to the Sr. Manager, Facilities. The role will provide assistance to the maintenance/facilities departments and will develop procedures, preventive/predictive maintenance schedules and assist with inventory control for spare parts. This role will coordinate with different vendors to schedule service visits for calibrations and will audit the CMMS for any deficiencies. This position will be the administrator for any CMMS related tasks and will create/modify user capabilities and will help build the program and work to continuously improve the platform.
You Will:
- System administration/configuration: Configure, maintain, and troubleshoot the CMMS software to ensure it meets the organization's operational needs. Set up company profiles, assets, locations, user roles and custom fields.
- Data management: Ensure the accuracy and integrity of all CMMS data, including equipment records, bills of materials (BOMs), work orders, inventory and maintenance history.
- User support and training: Create and manage user accounts, roles, and permissions and develop and deliver training programs for new and existing users. Provide user support.
- Workflow optimization/PM development: Work with maintenance teams to create jo plans, schedules, and work orders, and use the system to optimize maintenance processes
- Create and schedule PM tasks/routes and procedures alongside Maintenance/Facility Managers.
- Perform and/or oversee cycle counts for inventory and order new parts while keeping track of trends of common wear items/parts and critical spares.
- Train staff on CMMS best practices and provide help desk support.
- Review new SOPs for accuracy and match PM schedules and practices.
- Analyze new equipment and create new PM schedules and procure parts to ensure efficiency.
- Reporting and analysis: Generate regular reports on maintenance activities, performance, and costs, and analyze data to identify trends and opportunities for improvement.
- Inventory and procurement: Manage parts inventory within the CMMS, including tracking usage, cycle counts, and coordinating with vendors for parts ordering. Oversee inventory and warehouse functions within the system.
- Asset management: Maintain a comprehensive history of all assets, including performance, maintenance, and cost data, within the CMMS.
- Work with vendors to build spare parts inventory and trend wear parts for equipment.
You Have:
- Must be at least 18 years of age and present state-required proof of age documents.
- High school diploma or equivalent GED required.
- Must be able to safely lift and carry items weighing up to 50 pounds, either in conjunction with his or her regular responsibilities or those assigned in other areas as directed.
- Use of business computer systems and applications—specifically, Microsoft Word, Excel, and Project Management software
- Ability to document predictive/preventive maintenance charts, technical data and other data; interpret data and provide relevant input for process improvement.
- Ability to communicate effectively with others using spoken and written English (Bilingual in Spanish preferred)
- Must be able to bend, stoop, reach overhead with arms and hands and climb ladders; must be able to climb stairs up to three flights and not be afraid of heights utilizing scissor or bucket lifts.
- Ability to work cooperatively and collaboratively with others; conducts working relationships in a manner acceptable to others and to the organization.
- Possess the learning capacity to receive and apply cross-functional training; willingness to assist other functions and work groups as needed so the department achieves or exceeds its overall business objectives.
- Ability to comprehend and adhere to all Hims Inc. policies and procedures including, but not limited to, those related to attendance and scheduling requirements, honesty and integrity, confidentiality, safety, and conflicts of interest.
- 2+ years of industry experience in maintenance or administrative related field.
- Maintenance planning experience
- Experience with CMMS software and maintenance operations.
- Excellent organizational and analytical skills.
- Effective communication and collaboration skills.
- Attention to detail.
- Experience in a relevant industry (e.g., manufacturing, maintenance, distribution) is often preferred.
- Positive attitude and a drive for continuous improvement
- Ability to work in a cross functional environment to support all maintenance departments
- Flexibility to work through any maintenance related activities to support the department.

Conditions of Employment:
- This position will require working with Hazardous Drugs (HD) and would require that Personal Protective Equipment (PPE) be worn for the length of working with these drugs. These items would include gloves, respiratory protection, gown and other items as required.
- This position requires medical approval to wear respiratory protection in the form of negative or positive pressure respirators, including N95, full face respirator, SCBA, or Powered Air Purifying Respirator (PAPR).
- Physical exertion required. Including, but not limited to, walking up to 50% of the time, standing up to 100% of the time, squatting and bending up to 20% of the time and lifting up to 80% of the time for up to a twelve hour shift. Must be able to lift up to 50lbs.
- Due to the risk of reproductive capability in handling or compounding certain Hazardous Drugs (HD) associates must be willing to confirm that they understand the potential risks (teratogenicity, carcinogenicity and reproductive effects) of handling hazardous drugs.
