The Billing Specialist is responsible for accurate, timely, and compliant billing for Meta House’s services including Outpatient, Residential, Peer Support, and Case Management. This role ensures claims are submitted correctly the first time, resolves denials, monitors payer trends, and supports the implementation of new billing workflows and best practices developed through Meta House’s billing assessment project.

Key Responsibilities

- Review daily charges for accuracy and ensure all charges are validated prior to claim submission.

- Review clearinghouse rejection reports, correct errors, and resubmit claims in a timely manner.

- Maintain provider enrollment status with Medicaid HMOs and commercial payers.

- Ensure that rendering providers are properly credentialed and accurately mapped within their SER records.

- Review and resolve claim denials and rejections daily, identifying root causes, and implementing corrective actions.

- Submit clean claims to payers including: ForwardHealth, Medicaid HMOs, Medicare Advantage plans, and commercial payers in accordance with payer filing guidelines.

- Collaborate with clinical teams to resolve documentation and coding issues affecting claim submission and reimbursement.

- Post insurance payments accurately through both electronic and manual processes.

- Manage financial assistance workflows, including all documentation related to the same, sliding fee discount applications, approvals, and client payment processing.

- Perform accounts receivable follow-up and resolve claim denials through corrected claims, reconsiderations, and appeals.

- Provide excellent customer service to clients, providers, and administrative team regarding billing and account inquiries.

- Maintain quality standards by following established policies, procedures, and best practices.

- Ensure strict confidentiality of all clients and organizational information in compliance with HIPAA regulations.

- Demonstrate a strong commitment to performance, accountability, and job responsibilities.

- Respond promptly to inquiries regarding billing, claims, payments, and account-related matters.

- Train staff on new billing workflows and procedures once processes have been finalized and implemented.

- Perform other duties as assigned by the Supervisor.

Qualifications

Requirements

- 2+ years of medical billing experience (behavioral health or SUD preferred).

- Strong knowledge of Medicaid billing, modifiers, and payer rules.

- Experience with Epic PB is strongly preferred.

- Experience with ForwardHealth billing portal and Milwaukee County systems are strongly preferred.

- Ability to analyze claims, identify trends, and resolve complex billing issues.

- Strong communication skills and attention to detail.

Physical Requirements & Work Environment

Must be able to:

- All Meta House staff are required to provide proof of vaccination for MMR, Varicella, and annual flu shot.

- Adherence to a non-smoking work environment.

- Tolerate occasional hot or cold days.

- Alternate sitting or standing for extended periods of time at will.

- Lift up to 25 pounds on a regular basis and 40 pounds on occasion.

- Ascend and descend stairs using feet and legs.

- Bend, stoop, twist, squat, and kneel to perform essential functions.

- Reach overhead, and at or below shoulder level.

- Read and enter text or data into a computer or other system.

- Seize, hold, grasp, turn, or otherwise work with hands.

- Touch, pick, punch or otherwise work with fingers.

- Hear, understand, and distinguish speech and/or other sounds in order to communicate with clients and/or colleagues.

- Express or exchange ideas by means of spoken word to impart oral information to clients or the public and convey detailed spoken instructions to others accurately, loudly, or quickly.

- See clearly at approximately 20 inches or less including use of computers or tablet.

- Visually identify clients and others for reasons including, but not limited to security, presence in the building.

- Valid Wisconsin drivers license preferred.

- Employees who, as part of their regular duties, transport Meta House clients to and from meetings or appointments in their personal vehicle must carry and maintain proof of current Wisconsin automobile liability insurance coverage at or above the minimum state requirements.

- Employees must present proof of auto insurance (insurance card or electronic equivalent) upon request by Meta House.

- Access to a personal vehicle for work purposes preferred
