Business Overview
Our Legal & Tax teams work with the business and our investors to provide support on our global products and services, and the markets in which we operate.
The Role
Provide high ‑ quality administrative, coordination and workflow support to the Commercial team in EMEA to enable leaders and team members to operate efficiently in a high performing environment.
Key Responsibilities
- Provide primary administrative support
- Provide overflow support to other Team Assistants, Commercial EMEA
- Provide project specific administrative support to the Commercial team in EMEA on an ad-hoc basis
- Contribute to the overall effective operation of the company by delivering a consistently high standard of work in a timely manner
- Provide responsive solutions and support for the Commercial team, within timeframes for regular and ad hoc activities
- Provide efficient administrative support for the nominated teams on all levels
- General administrative support and support for ad hoc projects
- Assistance with legal and non-legal documents
- Coordinate meetings/diary management, team travel (as directed by the team and according to the policy, ensuring the appropriate approvals are in place), AMEX reconciliation, team events
- Process monthly expense claims and deal with any queries
- Process and track invoices as directed by the team
- Develop and foster relationships with law firms and other external and internal stakeholders
- Follow up with internal and external stakeholders and partners
- Meet and greet visitors, partners, and stakeholders.
- Screen telephone calls, field enquiries and requests, and escalate urgent matters.
- Proactively manage the team’s diaries for conflicts and priorities
- Act as a champion for workplace technologies
- Maintain up to date information and data in various platforms
- Maintain stakeholder and other key contacts
- Maintain document control – filed and saved accurately
- Comply with the delegated authorities relevant to the position
Your background and experience
- Relevant experience within a corporate environment or a professional services firm (law or accounting)
- Experience in providing administrative support in the legal field
- A-levels or equivalent qualifications preferred
- Understanding of the principles relating to the delivery of administrative services, e.g. confidentiality, protocols and time sensitivities
- Good understanding of the aims of the EMEA Commercial Team and the wider Commercial Group
- Understanding of our business
- Current skills in MS Office Suite i.e. Word, Excel and PowerPoint
- Proficient in using a document management system
