Overview
General Purpose of Job:
Assist Corps Officer with general office operations.
Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES.
- Manage Front Desk
- Assist with Correspondence
- Assist with Social Service Scheduling
- Greet and welcome visitors, clients, and employees in a warm and courteous manner.
- Answer, screen, and direct incoming calls promptly and professionally.
- Manage the reception area, ensuring it is clean, organized, and inviting at all times.
- Provide accurate and up-to-date information to inquiries about the company, its services, and its employees.
- Handle and distribute incoming mail, packages, and deliveries efficiently.
- Coordinate and schedule appointments, meetings, and conference room reservations.
- Maintain and update visitor logs, security protocols, and access control systems.
- Assist with administrative tasks such as photocopying, filing, data entry, and document preparation.
- Manage office supplies, restocking items as needed and maintaining inventory.
- Maintain confidentiality and discretion when handling sensitive information.
- Collaborate with colleagues to ensure a seamless and positive experience for all visitors.
- Provide support to other departments as required.
- Make sure all donation go directly to the Corps Officers.
- Keep track of all Gifts in Kind donations for Corps Officers to send to DHQ.
- Refer clients to local agencies providing needed assistance.
- Monitor and order office supplies, restocking items as needed and maintaining inventory.
- Assist in event planning and coordination for company functions.
- Assist Officers with Thank You letters to donors.
- Assist in scheduling clients for the food pantry daily.
- Any other reasonable request made by Corps Officers
SUPERVISORY RESPONSIBILITIES

Qualifications
MINIMUM EDUCATION and/or EXPERIENCE
- High school diploma or equivalent; additional education or certification is a plus.
- Proven experience as a Receptionist or in a customer-facing role is preferred.
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS .
- Effective written and oral communication skills
- Proficient knowledge of computers, word/excel/publisher
- Good planning and follow through skills
- Ability to work numerous projects simultaneously
- Able to work independently or in group
