Location:  Multiple clinic sites; floats to clinics in need, as needed

Direct Reports:  Clinic Supervisor, CMA Lead, Patient Coordinator Lead, and clinic staff at the assigned clinic

Position Summary

The Clinic Manager Float leads all operations at the clinic to which they are assigned, ensuring high-quality patient care, efficient workflows, and a well-supported team. This role manages staffing, compliance, budgets, and patient experience for the clinic, and serves as the daily operational partner to the clinic's providers. The Clinic Manager Float carries out standards set by their Practice Administrator or Regional Practice Administrator and reports on clinic performance.

This is a float position. The Clinic Manager Float is required to float to clinics in need, as needed, based on operational demands such as manager vacancies, leaves of absence, staffing shortages, new clinic openings, or special projects. Assignments may change with little notice and may last from a single day to several weeks, as directed by the Practice Administrator or Regional Practice Administrator.

Work Schedule Expectations

- On-site leadership position requiring a minimum of 8 hours per day (excluding breaks), Monday through Friday, during normal business hours.

- Work location will vary based on the needs of the organization; the Clinic Manager Float is required to float to clinics in need, as needed.

- As an exempt-level manager, occasionally expected to respond to calls or emails outside standard hours to support operational continuity.

- A cell phone reimbursement is provided to support this requirement.

Essential Duties and Responsibilities

Float Coverage

- Float to clinics in need, as needed, providing management coverage during vacancies, leaves, staffing shortages, clinic openings, or other operational needs.

- Quickly assess the operations, staffing, and priorities of each assigned clinic and provide stable, consistent leadership during the assignment.

- Maintain consistent policies, workflows, and service standards across every clinic served.

- Communicate status, issues, and handoff notes to the Practice Administrator or Regional Practice Administrator at the start and end of each assignment.

Clinic Operations

- Oversee daily clinic operations, patient flow, and facility needs.

- Implement and enforce organizational policies, procedures, and workflows.

- Manage vendor relationships, supplies, equipment, and a safe physical environment.

- Serve as the clinic's HIPAA and OSHA coordinator, or ensure one is designated and trained.

Staff Leadership

- Hire, train, supervise, and evaluate clinic staff, directly and through the Clinic Supervisor and leads.

- Approve timekeeping and maintain personnel records in coordination with HR.

- Manage schedules to ensure adequate coverage; coordinate float support with their Practice Administrator or Regional Practice Administrator.

- Handle performance issues, corrective action, and conflict resolution in partnership with HR.

Financial Management

- Manage the clinic budget for supplies, purchasing, and staffing; approve expenses within authority levels.

- Monitor front-end collections, charge capture, and billing issues in partnership with the Billing department.

- Track overtime and labor costs.

Provider Support

- Serve as the daily operational partner to providers at the clinic.

- Maintain provider licensure, dues, and credentialing records.

- Ensure provider templates and schedules are current and communicated to the Call Center.

- Act as liaison between providers and support services (surgical scheduling, credentialing, hospitals).

Patient Experience

- Resolve patient complaints promptly and professionally.

- Review patient satisfaction surveys and online reviews; respond and act on trends.

- Improve scheduling and workflows to enhance access and reduce wait times.

Key Performance Measures

- Operations: Monthly clinic report covering visit volume, no-show rate, template utilization, and wait times.

- Financial: Supply and labor costs within budget; point-of-service collection rate.

- People: Performance reviews on time; adequate coverage; turnover trends.

- Compliance: HIPAA, OSHA, and CLIA training and audits current.

- Provider: Templates accurate and communicated; zero credentialing lapses.

- Patient Experience: Satisfaction scores; complaints resolved within response standard.

- Float Coverage: Timely, reliable coverage of assigned clinics with smooth transitions and clear handoffs.

Skills & Competencies

- Strong leadership, problem-solving, and organizational skills.

- Adaptability and the ability to step into a new clinic environment and lead effectively on short notice.

- Excellent verbal and written communication.

- Proficiency in EMR, practice management software, and Microsoft Office (Word, Excel).

- Knowledge of HIPAA, OSHA, CLIA, coding and billing practices, and HR compliance.

Supervisory Responsibilities

Yes. Direct supervision of all non-provider clinical and administrative staff at the clinic to which the Clinic Manager Float is assigned.

Travel Requirements

Regular travel between clinic locations is required. The Clinic Manager Float must be willing and able to float to clinics in need, as needed, based on the operational needs of the organization.

Additional Requirements

- Must maintain a professional appearance and demeanor.

- Must have reliable transportation and a valid driver's license for travel between clinic locations.

- Must be flexible with work location and able to adjust to changing assignments.

- May involve conflict resolution, escalation, and sensitive personnel or compliance matters.

Physical Demands & Work Environment

Clinic setting with patient exposure. Frequent standing, walking, and computer use; able to lift up to 20 pounds occasionally. Regular driving between clinic locations.

Qualifications

Education & Experience

- Bachelor's degree preferred; equivalent work experience may be considered.

- 3–5+ years in healthcare management or supervision, including at least 2 years in a leadership role.

- Specialty or surgical practice experience preferred; urology a plus.

- Experience managing or supporting multiple clinic locations preferred.
