Summary

- The Scheduling Secretary is responsible for interacting between staff, administration and family in scheduling home health aides in the Home Health & Hospice departments.

- Monday through Friday

Education and/or Experience

- High school diploma or GED preferred. Experience as a Nurse Aide preferred. Bi-lingual experience preferred but not required.

Essential Functions

- Maintains accurate records of monthly and quarterly statistics and patient census for all services.
- Greet office visitors, acknowledging appointments, offers seating and coffee as appropriate. Alerts appointee. Determine urgency of situations. Decide emergency need to interrupt staff/management staff.
- Interacts with patients, physicians, third parties, and other departments regarding complaints, problems, etc.
- Assists in coordination of new employee orientation and HHA/Homemaker annual education requirements.
- Answer department phone according to protocol and appropriately direct call or accurately take messages and disburse to staff so that efficient timely customer service standards are maintained.
- File and or disburse all charting, laboratory reports and physician orders according to department protocol in an accurate and timely manner.
- Maintains the records of the home health education and CEU’s. Ensure education opportunities are available for home health aides.
- Collaborates with Supervisor to coordinate HHA/Homemaker vacations/time-off.
- Coordinates overall patient and staff scheduling for the department.
- Completes and distributes monthly calendars for patients.
- Arranges for weekend and sick-leave coverage for patient visits.
- Monitors patient and staff satisfaction regarding scheduling and resolves problems and concerns along with Manager.
- Maintains balance between cost effective schedules and quality patient care. Monitors missed visits and reports to RN staff and Manager.
- Determines urgency of situations and decides when to contact RN staff and Manager. Responds to and provides direction for fluctuations in workloads.
- Participates with other office staff in answering the phones, relaying messages, filing, maintenance of medical records, emailing admission and discharge information, and making supplies available to clinical staff.
- Completes Medicaid prior authorization recertification forms.
- Enters home health aide and nurse clockings into My-Time and submits mileage reports to finance department.
- Performs other duties and responsibilities as assigned.
