ESSENTIAL DUTIES & RESPONSIBILITIES: What You Will Do

- Assist with mass new hire orientations, including the I-9 verification process, mass hire file submission, and auditing new hire paperwork for accuracy and completeness.

- Send communications to arena staff regarding policy changes, office closures, and other HR updates as needed.

- Lead ordering of event meals, supplies, and other miscellaneous items to support HR and arena operations.

- Manage office budget and supply needs, ensuring resources are available and appropriately maintained.

- Schedule HR meetings, take meeting notes, and distribute recaps to the HR team and supporting arena teams.

- Provide general administrative and clerical support to the HR team and other departments as needed.

- Maintain a professional, friendly, and hospitable presence in all internal and external interactions.

- Respond to inquiries and requests from internal employees, clients, guests, and the general public, providing timely and professional assistance.

- Provide administrative support, including data entry, filing, and document preparation.

- Professionally operates a multi-line telephone console, routing incoming calls to the appropriate person or location within the arena and external corporate offices.

- Schedule meetings, appointments, and conference room usage, maintaining appointment calendars and coordinating room availability.

- Maintain company confidentiality and proprietary information in accordance with established policies and procedures.

- Ensure conference spaces are clean, organized, and maintained to create a "Best-in-Class" environment that facilitates positive relations.

- Assist with the upkeep and organization of the executive office storage room.

- Stock and maintain kitchen pantries in the executive office, administrative offices, and employee breakroom.

- Performs other duties as assigned.

CANDIDATE PROFILE: Who You Are

- The Office Assistant has 2+ years’ proven experience as a front desk representative, agent, or relevant experience.

- Bachelor's degree in HR or equivalent HR experience.

- Must be highly organized, resourceful, quick learner, and able to handle multiple projects simultaneously.

- ​Enterprising and self-starter with the ability to work with minimal supervision.

- ​Ability to work well with different personalities in a fast-paced environment and meet constant deadlines.

- Always possess a welcoming and friendly demeanor.

- Experience managing and redirecting phone calls and emails.

- Dynamic communicator and cross-department collaborator.

- Flexibility to work varying event shifts, nights, weekends and some holidays as needed.

- Proficient with Microsoft Office (Word, Excel, PowerPoint, Teams, Forms) and Zoom.

- Ability to stand, walk, bend, crouch, and remain active for extended periods during events.

- Must be legally authorized to work in the United States.

- Ability to work between 32 to 40 hours per week.

WORK ENVIRONMENT: Where You Will Be

- This position is fully on-site based in Barclays Center, located in the heart of Brooklyn, NY.

- This role requires consistent attendance to support daily operations, foster collaboration, and provide direct support to employees and business partners.
