SUMMARY -
The purpose of this position is to support the Security Manager through reports, data collection and data entry, compliance and audit documentation, budget and purchase administration, records control, and internal/external liaison. This is an administrative and analytical support role focused on documentation, coordination, tracking, and escalation in support of security operations.
JOB RESPONSIBILITIES AND ACTIVITIES -
- Complete assigned recurring and ad-hoc security reports, including weekly NPI metrics, training completion, audit status, task closure, visit logs, and other site/HQ templates.
- Collect source data from function owners, post logs, training systems, audit trackers, and on-site files; enter, clean, and update data in designated trackers and templates.
- Maintain data accuracy and version control; flag incomplete, late, or conflicting data to the Security Manager.
- Track assigned Security budget lines, including encumbrances, actuals, open POs, remaining balance, and variance notes for the Security Manager.
- Prepare purchase requests and supporting paperwork, including quotes, specifications, vendor information, and justification for approved Security purchases within written approval limits and site procurement rules.
- Collect invoices, packing slips, and receipts; file them against the PO/budget line; follow up with Finance and Procurement on receiving and payment status.
- Maintain a current log of applicable security compliance requirements and collect/file audit-ready evidence, including photos, checklists, training records, and correspondence.
- Compile security control plan packages and evidence folders for NPI areas, UI Lab, and other special zones from inputs provided by owners.
- Organize internal pre-audit checklists and coordinate OK2Open, NPS, MPS audit, and customer-visit logistics as directed by the Security Manager.
- Log audit findings, route them to assigned owners, track due dates, file closure evidence, and escalate overdue items to the Security Manager.
- Administer visit packages, including itinerary, materials, routes, personnel lists, image retention, and reception supplies; attend as documentation support when assigned.
- Serve as records and status liaison between the U.S. site security team and the China security team; synchronize trackers, notes, and status so gaps are documented.
- Coordinate meeting logistics and information flow with EPM/OPM, Production, Engineering, IE, QA, and the Shadow Team; record decisions and open items.
- Track published new-product milestones against the security readiness checklist and flag incomplete items to the function DRI and the Security Manager.
- Collect, sort, version-control, and file plant security materials, including budget and PO files.
- Track tasks assigned by plant management and corporate headquarters; update progress and prepare closed-loop status reports.
- Protect customer and site information per NDA and Apple Supplier Code of Conduct document-handling rules.
- Perform other duties as assigned.
SCOPE OF AUTHORITY -
- Completes reports, data entry, and assigned trackers from source data provided by owners.
- Administers budget tracking and purchase paperwork within written approval limits and site procurement procedures.
- Supports procurement documentation, vendor paperwork, and PO/invoice tracking while routing approvals through designated decision-makers.
- Maintains compliance logs and audit evidence files according to approved security requirements and document-control expectations.
- Coordinates audit and visit logistics, records findings, tracks due dates, and files closure evidence provided by assigned owners.
- Recommends process or documentation improvements to the Security Manager.
- Escalates overdue actions, compliance risk, budget exceptions, suspected policy violations, or resource conflicts to the Security Manager.
POSITION QUALIFICATIONS AND REQUIREMENTS -
- High School Diploma or GED required. Bachelor’s degree in Business Administration, Criminal Justice, Security Management, Information Management, Compliance, or a related field preferred.
- Minimum 2 years of experience in administrative support, compliance documentation, audit coordination, data entry/reporting, or security operations support.
- Proven ability to complete accurate reports, maintain organized records, and meet deadlines.
- Strong attention to detail; proficient in Microsoft Office, especially Excel, Word, and PowerPoint. Experience with shared trackers or document-control systems preferred.
- Ability to collect, enter, and reconcile data from multiple sources.
- Mandarin Chinese spoken and/or written preferred for China–U.S. liaison and document synchronization; not required.
- Must pass a comprehensive criminal background check with no felony convictions.
- Must pass pre-employment drug screening and remain drug-free.
- Must have reliable transportation.
- Excellent written and verbal communication skills in English.
- Ability to work on-site in a manufacturing/warehouse environment and handle confidential information.
PREFERRED EDUCATION -
High School Diploma or GED required. Bachelor’s degree in Business Administration, Criminal Justice, Security Management, Information Management, Compliance, or a related field is preferred. Additional coursework, certification, or training in security administration, compliance, records management, or business administration is also preferred. Mandarin language coursework or demonstrated proficiency is preferred, not required.
WORK EXPERIENCE -
- Minimum 2 years in administrative analysis, compliance/audit support, inventory or security records, reporting, or similar.
- Experience supporting a security, EHS, warehouse, or manufacturing operations team preferred.
- Experience preparing purchase requests and tracking a departmental budget preferred.
- Experience coordinating bilingual English/Mandarin documentation or China–U.S. status updates preferred, not required.
OTHER REQUIREMENTS - Work on-site in Houston. Support flexible hours, overtime, weekends, or off-shift coverage when required by audits, visits, inventory, or reporting deadlines.
Maintain confidentiality of company, employee, vendor, customer, investigation, and security information.
Work independently, manage multiple priorities, document findings accurately, and meet deadlines.
Follow company security, document-handling, procurement, and site procedures.
