Purpose of Role

Responsible for accurate and timely processing, organization, scanning, and tracking of original collateral and lender documentation. Ensures required documents are properly prepared and delivered to assigned funders while maintaining accurate records of all original collateral items. Works closely with the Funding and Purchasing teams to keep documentation organized and ensure daily collateral requirements are completed accurately and on time. This is an on-site, in-office position in the FoA Tulsa location.

Key Responsibilities and Expectations

- Reviews emails and Microsoft Teams messages at the beginning of each workday for corrected items, outstanding documentation, and incoming collateral.

- Opens, sorts, and logs incoming FedEx and UPS mail.

- Process and scans Notes and any additional collateral documentation for funders.

- Organizes funding packages according to funding date.

- Reviews physical funding packages and identify original collateral items and lender-required documents.

- Stamps and signs documents as required.

- Scans completed documents and email them to the assigned funders.

- Logs all original collateral items using the provided Excel spreadsheet and turn them into the Safe Coordinator or by the end of each business day.

- Communicates with the Funding, Purchasing, and Shipping teams regarding collateral and documentation needs.

- Ensures documents are processed accurately, efficiently, and within required timeframes.

- Follows company procedures for handling, tracking, and transmitting confidential documentation.

- Perform other duties as assigned.

Qualifications - Experience/Skills/Competencies

- Minimum 1 year of prior experience in an administrative role in an office setting.

- Strong attention to detail and accuracy.

- Ability to stay organized while handling multiple packages and documents.

- Ability to follow established procedures and meet daily deadlines.

- Basic computer skills and willingness to learn company systems and processes.

- Ability to use Excel, Outlook, and Microsoft Teams or learn these programs with training.

- Reliable and dependable attendance.

- Ability to communicate effectively with team members and other departments.

- Proficiency in MS suite.

Qualifications - Education - Required

- High School Diploma or GED

Compensation

The base salary range for this position is ($34,200 - $42,800) inclusive of all geographical differences in the labor market. The base salary for the position will be determined based on factors such as the candidates work location, skills, education, and experience. In addition to those factors, we believe in the importance of pay equity and consider the internal equity of our current team members in determining any final offer.
