Because of the complex, multi-party nature of the cases we handle - often involving multiple defendants, insurance carriers, UM/UIM claims, and high-value damages - we are seeking a Legal Operations Manager who is not limited to administrative work alone. This role is a central hub for the entire firm’s operating system, integrating intake, claims progression, demand production, records routing, staff accountability, and technology systems into one predictable, scalable workflow. From stabilizing the demand pipeline and removing daily blockers (credentials, access, routing), to implementing clear ownership and operating rhythms across the team, the Legal Operations Manager is a direct partner in execution and performance.

This Legal Operations Manager can manage a high-volume, fast-moving practice environment; ensure that the operational engine is airtight; and work in lockstep with Saundra M. Davis, P.C., to position each matter for the strongest possible outcome - by ensuring the internal workflow supports speed, accuracy, and exceptional client delivery. This is not a passive, paper-pushing position. This is a proactive, strategic, and highly involved role for someone who thrives in building order out of chaos and understands that success is built in the details long before settlement or trial.

What You’ll Do:

In this role, you will own the firm’s operational infrastructure across people, processes, systems, training, and office administration, ensuring responsibilities are clear, execution is consistent, and issues are resolved at the appropriate level. Your responsibilities will include, but are not limited to:

Operations Leadership & Workflow Ownership:

- Own the firm’s master operational task list, recurring calendar, project tracker, and weekly operating cadence, with clear owners, deadlines, and follow-up.

- Translate attorney decisions and recurring instructions into documented processes, checklists, and ownership rules.

- Identify bottlenecks, recommend practical solutions, and manage approved operational changes through implementation.

- Staff Accountability & Performance Follow-Through:

- Set clear expectations and directly address routine attendance, performance, deadline, and follow-through issues.

- Document coaching, corrective action, handoffs, and follow-up requirements, escalating significant issues and recommendations to the owner when appropriate.

- Apply firm policies consistently and ensure routine accountability conversations do not default back to the owner.

- SOPs, Playbooks, Training & Onboarding:

- Consolidate and maintain the firm’s SOPs, playbooks, templates, and checklists in an organized, version-controlled system.

- Own Trainual and the firm’s role-based onboarding, training, quizzes, certifications, and completion records.

- Coordinate cross-training, continuing education, vendor training, and the incorporation of new procedures into the firm’s playbooks.

- KPIs, Reporting & Operating Cadence:

- Work with the owner to establish meaningful KPIs by position and maintain a practical weekly or monthly dashboard.

- Track whether agreed-upon work is completed and flag recurring patterns involving missed deadlines, aging demands, incomplete Filevine entries, unresolved liens, outstanding records, or other operational exceptions.

- Prepare the operational portion of team meetings so discussions focus on exceptions, decisions, and next actions rather than basic status gathering.

- HR & People Administration:

- Coordinate recruiting logistics, onboarding documents, first-week schedules, payroll and benefits information, policy acknowledgments, and employment milestones.

- Maintain personnel documentation, job descriptions, organizational responsibilities, probationary-period records, review dates, and PTO eligibility information.

- Coordinate complete offboarding, including equipment, keys, passwords, system access, and personnel records.

- Office Administration:

- Manage vendors, office supplies, equipment, subscriptions, facilities issues, IT troubleshooting, and new-user setup.

- Maintain equipment inventories, administrative calendars, reimbursements, scanning, address changes, and routine office records.

- Keep the physical office functioning without the owner becoming responsible for routine administrative or facilities issues.

- Case-Support Workflow & Risk Control:

- Monitor operational workflows across intake, claims, medical records, demands, and litigation support without supervising substantive legal work.

- Maintain visible queues, ownership, service expectations, escalation rules, and milestone reporting for time-sensitive work.

- Improve records routing, demand readiness, deadline visibility, and follow-up procedures to reduce delays, duplicate work, and preventable bottlenecks.

- Filevine & Google Drive Governance:

- Establish and maintain clear rules for what information and documents must be maintained in Filevine versus Google Drive.

- Standardize file naming, folder organization, documentation requirements, and quality-control checks.

- Monitor data completeness and eliminate duplicative systems or low-value manual reporting where possible.

- Access, Credentials & Security Control:

- Maintain an accurate access matrix for firm platforms, email accounts, equipment, and vendor systems.

- Administer secure credential-management, onboarding, offboarding, and multi-factor authentication processes.

- Reduce avoidable work stoppages and unnecessary attorney intervention while maintaining appropriate security and permission controls.

- Technology & Vendor Management:

- Evaluate tools, compare vendors, coordinate demonstrations, prepare recommendations, and manage approved implementations.

- Maintain a clear system map showing each tool’s purpose, owner, access requirements, and role in the firm’s workflow.

- Track adoption, operational value, and return on investment across platforms such as Filevine, Supio, EvenUp, CaseMetrix, Google Workspace, RingCentral, Trainual, and Gusto.

- Initial Operational Priorities:

- Establish one reliable master project list, a concise KPI dashboard, and consistent follow-up between weekly meetings.

- Organize the firm’s SOP and training materials, strengthen role-based onboarding in Trainual, and implement dependable access and offboarding controls.

- Improve the visibility and routing of records, demands, and other time-sensitive case inputs while supporting the firm’s evaluation of Supio and EvenUp.

- Scope of Authority

- Own routine policy administration, staff follow-up, performance documentation, SOPs, training, KPIs, projects, office systems, and approved vendor implementations.

- Conduct routine attendance and performance conversations and make operational recommendations within the established scope of the role.

What We’re Looking For:

Education & Certification: Bachelor’s degree required (business, operations, legal studies, or related field). Relevant certifications a plus (Lean/Six Sigma, project management, operations management). Experience: Minimum 4+ years of operations leadership experience in a law firm environment. Personal injury experience is strongly preferred. Demonstrated experience supervising staff or holding employees accountable for deadlines, standards, and follow-through. Demonstrated experience personally building, implementing, enforcing, and measuring workflows, SOPs, training programs, accountability systems, or operational processes. Experience managing competing priorities, legal technology, vendors, and system implementations in a high-volume environment. Skills & Competencies: Strong operational judgment and the ability to prioritize what matters most and drive it to completion. Exceptional organizational, project-management, documentation, and follow-through skills. Ability to create clarity through SOPs, workflows, checklists, dashboards, and process maps. High competence with legal and business systems. Filevine and Google Workspace experience are strongly preferred. Excellent written, verbal, and listening skills, including the ability to conduct direct accountability conversations. Personal Attributes:

On-site Presence and Flexibility:

- This is a full-time, 100% on-site position at 2088 Main Street East, Snellville, Georgia 30078.
