About this role

Overview:

The Payroll Specialist II is a remote position that reports directly to the Payroll Manager. This role is responsible for processing end-to-end payroll through multiple systems for all 50 states in the US, Canada and Puerto Rico. This role will process daily, weekly, bi-weekly and monthly payroll. This role completes calculations, adjustment preparations and entry, review of Accruals, preparing and reviewing garnishment setup, refunds and return payment processing and addresses calculation and system errors. The Payroll Specialist III provides support to internal Departments, Operations Teams, external agencies and Associates.

ESSENTIAL DUTIES and RESPONSIBILITIES

Include the following. Other duties may be assigned.

- Review and correct payroll records relating to personnel changes to ensure master data is accurate

- Process full cycle payroll including preparing files, processing payroll, and balancing results within multiple systems and formats.

- Manage and correct transaction and system errors to complete payroll tasks.

- Manage workflow to ensure payroll transactions are processed accurately and timely, including garnishment entry validation and calculations.

- Complete weekly payroll cycle close procedures, reviews and communications.

- Research, reconcile and process ACH and/or returned checks for payroll and garnishments payments.

- Monitor Payroll automation logs and reports to identify and troubleshoot delays and detect system bottlenecks.

- Provide support and training to associates and operations teams related to payroll questions and inquiries through Service Ticketing system.

- Work closely with Operations and Accounting on all payroll related issues.

- Research and correct employee payroll tax setups to ensure the correct withholding of all federal and state taxes for multi-state and multi-provinces in US and Canada. Make payroll balance corrections as needed to correct payroll tax issues.

- Research and resolve payroll issues found in operational audits.

- Encourage and recommend continuous improvement measures within Payroll.

- Other projects assigned.

- Review and maintain Accrual plans and adjustments.

- Calculate and perform “Gross Up” tasks for bonus and earnings adjustments.

- Research and provide payroll data and ad hoc reports for Operations teams, Finance, and Accounting.

- Maintain and update SOP procedures

EDUCATION and EXPERIENCE

- High school diploma and 3+ years related experience in multi-state payroll administration. CPP preferred.

CORE KNOWLEDGE and SKILLS

- Advanced skills in Excel; Proficient in Microsoft Word and Outlook.

- Strong analytical skills, focusing on researching issues within payroll data, summarizing findings and communicating clearly when presenting information.

- Excellent customer service skills.

- Ability to work collaboratively with all levels of employees, management and external agencies to understand and resolve payroll issues.

- Ability to communicate clearly, timely, and accurately.

- Knowledge of how payroll entries impact various account balances in the GL.

- Working knowledge of federal wage and hour laws, general payroll practices and internal controls.

- Ability to work in a team-oriented environment within a remote environment.

- Ability to organize workload, adapt quickly to change, and deliver under the pressure of tight deadlines.

- Ability to maintain confidentiality is mandatory.

- Ability to develop and maintain cooperative working relationships.

- Ability to work independently in a time sensitive environment.

- Experience working with high volume payroll and related activities.

SUPERVISORY RESPONSIBILITIES

This position will not have any direct supervisory responsibilities.

Salary Range: $25.00 - $30.00 per hour, depending on experience and geographic location.

Please note that actual compensation offered may vary based on local pay requirements and will meet or exceed state-specific minimum wage or salary thresholds.
