About the Role

The Utility Management Services Coordinator supports Fairfield’s utility operations through utility account management, billing review, reporting, expense control, and stakeholder coordination. This role plays a key part in maintaining billing accuracy, supporting utility recovery programs, improving operational efficiency, and helping optimize utility expenses across the portfolio.

Work Schedule & Location: This is a full-time, onsite position based at Fairfield's corporate office in the Sorrento Valley area of San Diego, California. To support East Coast operations, team members typically begin their workday between 6:00 AM and 8:00 AM Pacific Time.

What You'll Do

Below is a snapshot of what this role is all about. While there is more to it, this is the core focus.

Utility Account Coordination

• Coordinate utility account setup, transfers, disconnections, and service changes.

• Support account transitions for acquisitions, new construction, and operating properties.

• Maintain account records, provider documentation, and tracking information.

Billing Review & Resolution

• Review and resolve utility invoicing issues, billing discrepancies, payment issues, and billing inquiries.

• Research account variances and coordinate corrective action.

• Partner with Accounting, property teams, and vendors to resolve billing concerns.

Utility Analysis & Reporting

• Track utility usage, expense trends, billing recovery, leaks, meter issues, and performance variances.

• Prepare reports, analyses, billing summaries, presentations, and benchmarks.

• Support budgeting, proformas, and utility performance reviews.

Stakeholder & Vendor Support

• Serve as liaison among utility providers, vendors, residents, property teams, Accounting, Asset Management, and other stakeholders.

• Coordinate issue resolution and communicate updates across involved parties.

• Support utility recovery and operational initiatives.

Process Improvement & Compliance

• Support waste management, landlord utility agreements, sales tax removal, rate schedule updates, submetering, and master meter requests.

• Utilize technology and reporting tools to improve expense control and process efficiency.

• Complete required training and comply with all Fairfield standards and applicable regulations.

What We're Looking For

Education & Certifications

• Four-year college degree in business preferred (accounting, finance or real estate), or equivalent or applicable work experience

Experience

• Minimum 2 years of commercial/multifamily real estate, financial analysis, accounting, utility management, resident billing, or related experience.

• Utility account transition, invoice review, billing resolution, or expense management experience preferred.

• Experience working with utility providers, vendors, residents, and internal stakeholders.

• Experience utilizing reporting systems and data analysis tools to support operational decision-making.

Skills & Competencies

Estimated Rate of Pay:
$27.90 - $31.20
This position is non-exempt; the range above reflects hourly rates.

The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base rate only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any). In addition to base salary, Fairfield offers all full time associates the following, upon meeting eligibility requirements:

* Pay range is a calculation based on a midpoint price. Fairfield complies with all wage and hour laws, including minimum wage and salary exempt requirements.
