Associate PROJECT MANAGER

Associate Project Manager | Site Minor Works

Position Summary

The Associate Project Manager supports the planning, coordination, and execution of laboratory and facility Site Minor Works. The role provides day-to-day project accountability for equipment installations, relocations, upgrades, modifications, and retirements, while coordinating contractors, vendors, stakeholders, and site support teams. The position maintains project records, validates technical and utility requirements, supports asset tracking and compliance, and provides clear status reporting from intake through closeout.

Essential Duties and Responsibilities

·    Plan, coordinate, and track laboratory and facility equipment projects from intake through completion.

·    Direct and coordinate contractor and vendor activities associated with equipment installation, relocation, modification, and removal.

·    Engage end users and stakeholders to confirm scope, schedule, access requirements, operational impacts, and project status.

·    Obtain and evaluate vendor and contractor quotations; support scope alignment and commercial comparison.

·    Perform technical reviews of proposals and confirm that equipment utility and space requirements are addressed.

·    Coordinate engineering, electrical, plumbing, mechanical, and other service providers required to execute the work.

·    Maintain project documentation, decisions, records, action logs, and regular leadership status reports.

·    Ensure asset identification, tracking, supporting data, and required records are complete and aligned with site requirements.

·    Coordinate with Facilities, Laboratory Instrument Services, Asset Lifecycle Management, CMMS/EAMS, EHS, and other site functions.

·    Support commissioning, turnover, closeout, and confirmation of required project deliverables.

·    Identify schedule, cost, safety, quality, compliance, and operational risks and escalate issues promptly.

·    Serve as the project liaison for assigned laboratory capital and Site Minor Works activities.

Scope of Support

·    Laboratory and facility equipment installations, relocations, upgrades, modifications, and retirements.

·    Utility and space accommodations supporting laboratory and facility equipment.

·    Contractor coordination, site access planning, and required escorts.

·    Site Minor Works performed within the account-approved program and capital project thresholds.

·    CMMS/EAMS and asset data coordination needed to preserve record integrity and compliance.

·    Project communication, status reporting, turnover documentation, and closeout.

Minimum Qualifications

·    Certification and/or degree in engineering, construction management, facilities management, project management, or a related field, or an equivalent combination of education and relevant experience.

·    Or comparable experience supporting projects in facilities, engineering, laboratory operations, construction, maintenance, or a comparable technical environment.

·    Experience coordinating vendors, contractors, stakeholders, project documentation, schedules, and status reporting.

·    Working knowledge of building systems, laboratory utilities, equipment installation requirements, and safe work coordination.

·    Proficiency with Microsoft Office applications and the ability to work with project trackers, document repositories, and CMMS/EAMS records.

Preferred Qualifications

·    Experience in life sciences, biotechnology, pharmaceutical, research, or other regulated facilities.

·    Knowledge of GMP, EHS, quality, change control, commissioning, and turnover expectations applicable to assigned work.

·    CAPM, PMP, FMP, or other relevant project, facilities, or reliability credential.

·    Experience supporting laboratory equipment lifecycle activities and multi-trade utility installations.

·    Familiarity with asset management and CMMS/EAMS data governance.

·    Strong project organization, prioritization, and follow-through.

·    Clear written and verbal communication with technical and nontechnical stakeholders.

·    Ability to review scopes, quotations, proposals, utility requirements, and project documentation.

·    Customer-focused problem solving and professional vendor management.

·    Ability to manage multiple concurrent activities while maintaining attention to safety, quality, cost, schedule, and compliance.

·    Sound judgment, proactive escalation, and disciplined record keeping.

·    Ability to work collaboratively across matrixed account and client teams.

Performance Expectations

·    Assigned work is planned, communicated, and completed with clear ownership and documented closeout.

·    Stakeholders receive timely, accurate schedule, risk, cost, and status updates.

·    Contractor activities are coordinated safely and in alignment with approved scope and site requirements.

·    Equipment utility requirements, asset records, and turnover deliverables are verified and maintained.

·    Issues and risks are identified early, documented, and escalated through the appropriate channels.

Work Environment and Physical Requirements

·         The position operates in office, laboratory, mechanical, and active project environments. Site access requirements may include walking project areas, using required personal protective equipment, entering controlled spaces, and observing contractor activities. Specific physical, schedule, travel, and work authorization requirements should be confirmed for the final posting and aligned with JLL and client policies.

·         Have the ability to regularly lift up to 50 lbs.

·         Have the ability to regularly climb extension ladders, roof ladders, stepladders, and stairs as required during shift.

·         Have the flexibility to bend/stoop, squat repetitive during shift.

·         Have the ability to stretch/reach on a repetitive basis during shift.

·         Have the ability to walk extensively throughout the facility during shift.

·         Have the ability to participate in a respiratory protection plan to include use of a respirator or PAPR

1st Shift / Day Shift

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Expected compensation for this position:

90,000.00 – 100,000.00 USD per year

Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
