The Assistant Office Manager is part of the Office Management team, working closely with the Office Manager and Business Manager to support the daily operations of the business office across multiple stores. This position plays an important role in supporting dealership accounting functions, maintaining efficient workflows, helping meet deadlines, training and assisting team members, and providing backup coverage across key areas of the office.

Job Responsibilities

- Work as part of the Office Management team alongside the Office Manager and Business Manager

- Assist with the day-to-day operations of the dealership business office

- Support accounting processes across multiple stores

- Serve as a resource and backup for office team members

- Assist with training employees on accounting processes, procedures, and systems

- Help answer questions and provide guidance to team members when needed

- Assist with payroll readiness and payroll-related office processes

- Provide support and backup in Accounts Payable and Accounts Receivable

- Assist with title and registration processes as needed

- Support deal processing, deal reconciliation, corrections, and related accounting functions

- Assist with factory receivables, statements, schedules, reconciliations, and related accounting activity

- Prepare and review reports, spreadsheets, schedules, and business correspondence

- Help monitor accounting schedules and identify outstanding or aging items

- Assist with month-end and other accounting deadlines

- Maintain accurate files, records, and confidential documents

- Help ensure company accounting policies and procedures are followed

- Identify opportunities to improve office processes and workflow efficiency

- Provide backup coverage for key dealership accounting functions when needed

- Assist with special projects and office initiatives

Qualifications

Qualifications

- Previous automotive dealership accounting experience is required

- Strong working knowledge of dealership accounting processes and business office functions

- Experience in multiple areas of dealership accounting is strongly preferred, including:

Payroll readiness and payroll support

- Accounts Payable

- Accounts Receivable

- Titles and registration

- Deal processing and deal accounting

- Factory accounting, receivables, statements, or reconciliations

- Experience working across multiple dealership accounting functions is highly preferred

- High school diploma or GED required

- Strong organizational and time-management skills

- Excellent communication and interpersonal skills

- Ability and willingness to train, assist, and support other team members

- Proficiency with Microsoft Office, especially Excel

- Strong attention to detail and problem-solving skills

- Ability to research and resolve accounting discrepancies

- Ability to handle confidential information with professionalism and discretion

- Ability to multitask and prioritize responsibilities in a fast-paced environment
