Position Summary:

The Coordinator Surgical Services Scheduling is responsible for coordinating surgical scheduling for multiple surgeons and ensuring that all parties involved in the surgical case have the necessary information. This includes maximizing resources by eliminating gaps in the operating room schedule and making recommendations to fully utilize surgical time in a way that will have a significant financial impact on surgical revenue.

Experience:

The Coordinator Surgical Services Scheduling must use experiential knowledge to schedule appropriate procedures and surgeries based on provider orders and must be able to schedule ambulatory center and hospital procedures in accordance with the patient's diagnosis and procedure case request.

Excellent customer service skills are required to interact effectively with surgeons, employees, and representatives.

The Coordinator Surgical Services Scheduling must be able to respond to written and oral correspondence regarding scheduling changes and cancellations in a timely and accurate manner. They must be organized and able to manage a demanding workload with accuracy.

Essential Functions:

Position Responsibilities (include, but are not limited to):

- Schedule surgical cases and resolve scheduling conflicts in a timely manner.
- Understand surgical procedures and the required time, equipment, and medical staff necessary to properly maintain and optimize the surgical schedule.
- Ensure each scheduled case has an anesthesia type selected and that laterality is included in the case description.
- Verify that implant cards are accurate and perform corrective actions when necessary.
- Anticipate insurance and payor coverage issues, based on prior occurrences, that may impact a future patient's ability to pay and communicate risks to the appropriate personnel for awareness and mitigation.
- Enter notes and instructions in the electronic medical record based on details provided by the surgeon or surgeon's office.
- Use experiential knowledge to ensure cases are appropriate for the patient's diagnosis and indications and verify that the order of cases is accurate based on surgeon direction.
- Post surgical logs daily to ensure appropriate documentation is available for revenue cycle processing.
- Evaluate future provider time away and identify impacts to the surgical schedule in order to offer available time appropriately.
- Critically analyze available time slots to ensure anesthesia and nursing staff are available and that required technology is accessible.
- Perform timekeeper duties for the operating room.
- Order specific implants daily.
- Perform general office duties, including answering phones, scheduling appointments, and scanning documents.
- Perform other duties as assigned, including retrieving surgery referrals from ordering physicians.
- Release unused block time.
- Coordinate and schedule ambulatory surgery center (ASC) and hospital-based surgeries with the appropriate provider.
- Complete data entry and maintain the surgical schedule.

The pay range for this position is $18.27-$28.50/hr. based on experience.
