About the Team & Role

Empathy’s people are at the heart of everything we do, and our offices play an important role in how we connect, collaborate, and build together.

We’re looking for a sharp, resourceful, and proactive Workplace Experience Associate to join our growing People team. In this in-office role, you’ll wear multiple hats: owning our NYC office experience, driving overall employee experience, and supporting local and remote engagement programs. You’ll be the go-to person for all things office-related, while also playing a hands-on role in employee experience, culture-building activities, and administrative HR tasks.

This is a unique opportunity for someone early in their career who thrives in fast-paced, high-growth environments and is excited to take ownership of core workplace operations and people coordination for a distributed US team, with NYC as our hub.

This is a highly hands-on role for someone who loves making things run smoothly, notices the details others might miss, and takes real ownership from start to finish. You’ll work closely with the People Operations team and partner across Finance, IT, leadership, and other teams to create a seamless and engaging workplace experience.

In this role, you will

- Lead the day-to-day operations of our NYC office, ensuring the workplace runs smoothly, efficiently, and is always welcoming and ready for our team.
- Serve as the go-to person for employees and visitors for office-related needs, questions, and requests.
- Manage workplace logistics, including supplies, deliveries, mail and shipping, food and office services, meeting spaces, and general facilities needs.
- Own relationships with office vendors and service providers, including coordination, contracts, follow-ups, invoicing, and ensuring a high standard of service.
- Partner with building management and relevant vendors on maintenance, repairs, access, and ongoing facilities needs.
- Help manage the office budget and expenses, keeping spend organized, tracked, and aligned with company guidelines.
- Own the experience for visitors and employees traveling to our NYC HQ, coordinating office logistics and helping ensure a seamless experience while they’re onsite.
- Plan and execute creative and unique in-office events, celebrations, team gatherings, and employee moments that strengthen connection and make Empathy a great place to work.
- Lead design of engagement programs and virtual moments that include our remote employees.
- Lead the operational and logistical execution of larger company events, leadership meetings, offsites, and other special moments hosted in New York.
- Partner with People Operations and IT to support smooth onboarding and offboarding experiences, including workplace readiness for new hires.
- Manage office communications and keep employees informed about relevant workplace updates, events, and changes.
- Build and improve office processes, documentation, and routines as the company continues to grow.
- Proactively identify issues and opportunities for improvement - and take ownership of solving them before they become problems.
- Take on ad-hoc workplace and operational projects, with a strong bias toward action and end-to-end ownership.

Requirements

What we’re looking for

- 2-4 years of experience in office management, workplace experience, employee experience, hospitality, events, or a similar hands-on operational role, ideally in a fast-paced startup environment.
- Excited to be in our NYC office 5 days a week
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities, stay ahead of needs, and follow through from start to finish.
- A true self-starter with a proactive mindset - you spot what needs attention, take initiative, and don’t wait to be asked.
- A high level of customer service and strong people skills. You genuinely enjoy creating great experiences for others and see feedback as an opportunity to learn, improve, and raise the bar.
- A proactive and creative approach to workplace and employee experience - from building engaging event calendars and introducing new traditions to finding unique ways to connect and engage both in-person and remote employees.
- Strong communication and interpersonal skills, with the confidence and professionalism to work with employees, leadership, vendors, and external guests.
- Experience managing vendors and external partners, with the ability to build strong relationships while ensuring high standards of service.
- Comfortable working in a fast-moving environment where priorities can shift quickly, while staying calm, resourceful, and solution-oriented.
- Background or experience in events, production, hospitality, or sales is a plus - especially if it has helped you develop strong execution and service skills.
- Proficiency with Google Workspace, including Docs, Sheets, Calendar, and Gmail.

The salary for this position ranges between $66,300 - $75,000. This is decided based on many factors, including but not limited to: skills, qualifications, and geographic location. In addition to base salary, we are proud to offer stock options in the company and a competitive benefits package.
