Job Summary
We are seeking an organized, detail-oriented Automotive Title Clerk to manage and process vehicle titles, registrations, and sales paperwork. In this role, you will serve as a crucial link between our dealership, our customers, and the Department of Motor Vehicles (DMV), ensuring that all vehicle ownership transfers are legally compliant, accurate, and completed in a timely manner.
The ideal candidate possesses strong administrative skills, an understanding of state transportation regulations, and a commitment to maintaining flawless financial and legal transaction records.
Core Responsibilities
- Process Paperwork: Prepare and submit accurate vehicle title and registration documents for both new and used car sales to state and local licensing bureaus.
- Verify Documentation: Review incoming title paperwork, trade-in packets, and dealer trades for completeness, verifying compliance with legal requirements and dealership policies.
- Liaise with Agencies: Maintain open communication with DMV offices, financial institutions, and management to resolve title, lien, or registration issues promptly.
- Track Outstandings: Compile and monitor a comprehensive ledger of all outstanding or problematic vehicle titles, reporting statuses directly to management and the comptroller.
- Calculate Fees: Compute correct state taxes, registration fees, and related transactional costs for vehicle sales.
- Database Management: Log vehicle warranties, extended contracts, and vehicle asset sales directly into our PBS Systems DMS .
- Compliance: Stay strictly abreast of changing local, state, and federal auto title laws and participate in ongoing industry training.
Qualifications & Skills
- Education: High school diploma or GED equivalent required.
- Experience: Minimum of 1–2 years of experience as an automotive title clerk or within a dealership administrative environment is highly preferred.
- Technical Proficiency: Hands-on experience using Dealership Management Software (DMS) is highly preferred.
- Attention to Detail: Proven ability to spot discrepancies in legal documentation, financial numbers, and vehicle identification data.
- Communication: Strong professional and articulate communication skills to interface with customers, sales personnel, and government agents.
- Certifications (Bonus): Holding an active Notary Public certification is a strong advantage.
