Job Summary:
Responsible for efficiently managing front‑desk operations by completing accurate registration, insurance verification, payment collection, call handling, and clerical support to ensure a smooth, welcoming patient experience.

Job Responsibilities and Requirements:

PRIMARY RESPONSIBILITIES

- Leads portions of new-staff onboarding and acts as a preceptor and go-to resource for other team members, reinforcing best practices and workflow accuracy.
- Assists with monitoring clinic KPIs and performance metrics by identifying trends, reporting issues, and supporting workflow improvements.
- Handles advanced Epic work queue and in basket management, including clearing escalated items, correcting errors, and ensuring timely resolution of front‑end workflow tasks.
- Resolves complex registration issues, including secondary insurance, coordination of benefits, and missing documentation. Monitors and clears MyChart and registration work queues with minimal oversight.
- Verifies insurance coverage and performs real‑time eligibility (RTE) checks prior to service. Supports smooth appointment flow by completing preregistration steps and preparing the department reports with required information.
- Provides detailed explanations of estimates, coverage limitations, and out‑of‑pocket expectations.
- Answers and routes incoming calls, provides routine information, and completes reminder calls, rescheduling, and no‑show follow‑up. May assist with scheduling tests and procedures when required by the clinic.
- Manages complex scheduling scenarios including urgent appointments.
- Creates a welcoming environment by greeting and assisting patients and visitors, managing lobby flow, and providing wayfinding support.
- Performs daily opening and closing tasks and completes clerical duties including mail, faxing, scanning, letters, and referral work queues. May float to other locations as needed to support staffing coverage.
- Perform other duties as assigned.

EDUCATION

- High School diploma/GED or 10 years of work experience

EXPERIENCE

- One year experience

PHYSICAL REQUIREMENTS

- Frequent lifting/carrying and pushing/pulling objects weighing 0-25 lbs.
- Frequent sitting, standing, walking, reaching and repetitive foot/leg and hand/arm movements.
- Frequent use of vision and depth perception for distances near (20 inches or less) and far (20 feet or more) and to identify and distinguish colors.
- Frequent use of hearing and speech to share information through oral communication. Ability to hear alarms, malfunctioning machinery, etc.
- Frequent keyboard use/data entry.
- Occasional bending, stooping, kneeling, squatting, twisting and gripping.
- Occasional lifting/carrying and pushing/pulling objects weighing 25-50 lbs.
- Rare climbing.
