Schedule: 8am-5pm, Monday - Fridays
Compensation: 268,000 - 420,000 MXN, annually, based on experience

Position Overview

Xerox is seeking an experienced Payroll Specialist to manage the end-to-end operation, coordination, and control of the company’s monthly Mexico payroll. While payroll calculation and processing are outsourced to ADP, this position serves as the primary internal payroll subject matter expert and operational owner.

In this role, you will ensure payroll inputs are complete and accurate, validate ADP’s payroll calculations, coordinate payroll and statutory payments, and complete all required accounting, compliance, reconciliation, and reporting activities. You will work closely with ADP and internal partners across People Operations, Finance, Accounting, Tax, Treasury, Benefits, and Legal to deliver an accurate, timely, and compliant payroll.

The ideal candidate has strong practical experience managing Mexican payroll, detailed knowledge of local statutory requirements, and the ability to independently manage complex payroll processes and deadlines.

What You’ll Do

Payroll Processing and Administration

- Own and coordinate the monthly Mexico payroll process, from collecting payroll inputs through approval, payment, and post-payroll activities.
- Maintain the payroll calendar and ensure all internal, vendor, and statutory deadlines are met.
- Collect, review, and validate payroll inputs from People Operations, Benefits, Finance, and other stakeholders.
- Ensure new hires, terminations, salary changes, promotions, transfers, and other employee changes are accurately reflected in payroll.
- Process and validate recurring and variable payroll items, including bonuses, commissions, overtime, allowances, deductions, absences, and benefits.
- Submit complete and accurate payroll information to ADP within established cutoff dates.
- Review ADP payroll calculations and reports, investigate discrepancies, and coordinate required corrections.
- Manage off-cycle, correction, and special payrolls as needed.
- Maintain complete payroll records, approvals, reconciliations, and supporting documentation.

Terminations and Special Payments

- Coordinate payroll calculations and payments related to employee terminations and severance.
- Review termination calculations and ensure required approvals are received before payment.
- Coordinate statutory and company-required payments, including:

Profit sharing (PTU), including payments to eligible former employees
- Christmas bonus (Aguinaldo)
- Bonuses and other special payments

- Ensure the appropriate payroll and tax treatment is applied to all special payments.

Statutory Compliance

- Coordinate and validate payroll activities related to Mexican tax, employment, and social security requirements.
- Manage employee ISR withholding and other payroll-related tax obligations.
- Validate payroll CFDI documents and applicable payroll complements.
- Coordinate IMSS employer and employee contributions, registrations, terminations, and salary modifications.
- Manage INFONAVIT contributions and employee loan deductions or amortizations.
- Coordinate SAR and other retirement-related payroll contributions.
- Manage applicable state payroll tax requirements.
- Review SUA-related calculations and reporting, as applicable.
- Reconcile statutory liabilities to payroll results and initiate payment requests before legal deadlines.
- Investigate and resolve discrepancies, notices, and other statutory payroll issues.
- Monitor changes to Mexican payroll legislation and coordinate required process or system updates.

REPSE and Specialized Services Reporting

- Coordinate payroll-related information required to support REPSE compliance, where applicable.
- Prepare and distribute REPSE information to clients within established deadlines.
- Coordinate the preparation, validation, and submission of ICSOE reporting to IMSS.
- Coordinate the preparation, validation, and submission of SISUB reporting to INFONAVIT.
- Partner with Legal, Tax, Finance, and People Operations to ensure statutory information is complete and submitted on time.
- Maintain supporting records and documentation for specialized-services reporting.

Payments, Accounting, and Reconciliation

- Prepare and initiate payment requests for payroll and statutory obligations.
- Coordinate payroll funding requirements and deadlines with Finance and Treasury.
- Track payments for net payroll, social security contributions, payroll taxes, INFONAVIT, retirement obligations, food vouchers, insurance, and other payroll-related liabilities.
- Investigate rejected, delayed, or incorrect payments and coordinate resolution.
- Review payroll accounting outputs to ensure payroll expenses and liabilities are accurately recorded.
- Reconcile payroll results to accounting outputs and statutory liabilities.
- Provide payroll accounting information to Finance, Accounting, or GCC teams within established deadlines.
- Support month-end, quarter-end, and year-end payroll accounting activities.

Vendor and Stakeholder Management

- Serve as the primary operational contact with ADP for Mexico payroll.
- Manage payroll questions, cases, and escalations with ADP through resolution.
- Monitor ADP’s performance against agreed timelines and service expectations.
- Review and challenge payroll calculations when results appear incomplete or inaccurate.
- Identify recurring vendor issues and coordinate root-cause analysis and corrective action.
- Resolve complex employee payroll inquiries and clearly explain payroll calculations and statutory requirements.
- Partner with internal stakeholders on reorganizations, acquisitions, integrations, employee transfers, and other business changes affecting payroll.

Controls, Audits, and Process Improvement

- Maintain an effective payroll control framework with appropriate segregation of duties.
- Perform and document payroll reconciliations, validation checks, and approvals.
- Support internal, external, statutory, and financial payroll audits, including the annual BDO audit process.
- Provide payroll documentation, reconciliations, and explanations to Internal Controls, Audit, Tax, and Finance teams.
- Identify payroll control weaknesses and implement corrective actions.
- Protect confidential employee and payroll information in accordance with Xerox data privacy and information security requirements.
- Identify opportunities to simplify, standardize, and automate payroll processes.
- Develop and maintain payroll procedures, calendars, process documents, and control documentation.
- Use payroll data and trend analysis to identify recurring issues and prevent future errors.
- Support global payroll transformation initiatives and payroll-related system implementations.
- Participate in system testing and the implementation of payroll, HR, timekeeping, and finance process changes.
- Promote a “Right First Time” approach to payroll delivery.

Who You Are

- Strong practical experience managing Mexican payroll.
- Detailed knowledge of Mexican payroll taxation and statutory requirements.
- Working knowledge of IMSS, INFONAVIT, SAR, ISR, payroll CFDI, and state payroll taxes.
- Experience coordinating statutory payroll payments and filings.
- Experience working with an outsourced payroll provider.
- Strong payroll reconciliation, analytical, and problem-solving skills.
- Advanced proficiency in Microsoft Excel, including the ability to analyze complex payroll data and identify discrepancies.
- Strong understanding of payroll controls, audit requirements, and supporting documentation.
- Ability to independently manage multiple priorities and deadlines throughout the monthly payroll cycle.
- Strong written and verbal communication skills.
- Fluency in Spanish and advanced English-language proficiency.
- High level of accuracy, attention to detail, confidentiality, and sound judgment.
- Demonstrated ownership and accountability, with the ability to manage issues through resolution.

Education

- Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field.
- An accounting or finance background is strongly preferred due to the position’s payroll, reconciliation, statutory-payment, and financial-control responsibilities.

Preferred Qualifications

- Experience using ADP payroll solutions.
- Experience with REPSE, ICSOE, and SISUB requirements.
- Experience working within a multinational organization.
- Experience partnering with shared-services or Global Capability Center teams.
- Experience with payroll accounting and general-ledger reconciliations.
- Experience supporting payroll transformation, system implementation, automation, or process-improvement initiatives.
