Job Duties
Inventory Analysis & Stock Balancing
- Analyze company-wide inventory levels, sales velocity, demand, and warehouse availability to identify inventory imbalances across distribution locations.
- Maintain appropriate inventory allocation between East and West Coast facilities to reduce unnecessary cross-country shipments, transportation costs, and fulfillment times.
- Use company-developed inventory tools and reports as decision-support resources while applying operational knowledge and judgment to determine appropriate inventory actions.
- Identify opportunities to proactively reposition inventory based on sales trends, replenishment activity, stock availability, and anticipated demand.
- Monitor inventory levels and recognize potential stock shortages, excess inventory, and allocation issues before they negatively impact operations or customer orders.
Kit SKU & Component Management
- Monitor inventory availability for kit SKUs and their individual components.
- Ensure kit components are appropriately allocated within the same warehouse whenever possible so complete kits can ship together in a single shipment.
- Identify component shortages or allocation issues that could prevent kit fulfillment and coordinate inventory movements or replenishment activities to resolve them.
Inventory Transfers & Transportation
- Identify when inventory transfers between warehouses are necessary based on stock levels, sales velocity, customer demand, and operational requirements.
- Coordinate and execute inventory transfers using the appropriate transportation method based on volume, urgency, and cost.
- Arrange transportation for multiple shipment types, including:
Full Truckload (FTL) transfers
- LTL and other freight shipments
- Express and ground parcel shipments
- Coordinate with warehouse teams and transportation partners to ensure transfers are scheduled, documented, and completed efficiently.
- Monitor transfers through completion and address delays, discrepancies, or other issues that may affect inventory availability.
Inventory Reporting & Data Management
- Maintain accurate and up-to-date shared spreadsheets and inventory transfer trackers used by multiple departments.
- Ensure transfer information, shipment status, expected arrival dates, and other relevant inventory information are clearly documented and accessible to stakeholders.
- Maintain a high level of data accuracy across inventory management systems, reports, and shared resources.
- Utilize Excel and Google Sheets to analyze inventory data, identify trends, and support inventory allocation decisions.
- Work closely with warehouse managers and operational teams to coordinate incoming inventory transfers.
- Assist warehouse teams with scheduling shipment arrivals, receiving appointments, and inventory movement priorities.
- Communicate upcoming transfers and changes in inventory allocation so warehouse teams can appropriately plan labor and receiving capacity.
- Assist with order management activities, particularly orders affected by inventory shortages or stock replenishment.
- Monitor out-of-stock and backordered orders that may require action following inventory transfers or replenishment.
- Identify available inventory solutions that can improve order fulfillment while minimizing unnecessary transportation costs.
- Coordinate with appropriate teams to ensure orders are released or fulfilled when inventory becomes available.
- Work closely with Procurement and Planning teams to maintain a continuous feedback loop regarding inventory allocation, replenishment requirements, stock shortages, and sales trends.
- Communicate observed changes in sales velocity or inventory demand that may affect purchasing, replenishment, or allocation strategies.
- Partner with warehouse managers, logistics teams, customer-facing teams, and other departments to resolve inventory-related issues.
- Clearly communicate inventory decisions, shipment status, risks, and recommended actions to stakeholders.
Requirements
- Strong analytical and problem-solving skills with the ability to interpret inventory, sales, and operational data.
- Advanced working knowledge of Microsoft Excel and/or Google Sheets.
- Ability to learn and effectively use warehouse management systems (WMS) and enterprise resource planning (ERP) systems.
- Strong organizational skills with the ability to manage multiple inventory movements, shipments, and priorities simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to maintaining accurate inventory and shipment information.
- Ability to make independent, data-driven decisions while considering cost, customer experience, inventory availability, and operational requirements.
- Ability to communicate and collaborate effectively across warehouse, logistics, procurement, planning, and other business teams.
- Ability to recognize inventory trends and proactively identify potential operational issues.
- Comfortable working in a fast-paced environment where priorities may change based on sales activity, inventory availability, and customer demand.
Key Measures of Success
Success in this role will be measured by the ability to maintain balanced inventory throughout ZLINE’s distribution network while supporting efficient and cost-effective fulfillment. Key areas of performance include inventory availability by region, reduction of unnecessary cross-country shipments, successful kit SKU fulfillment, timely execution of inventory transfers, accuracy of inventory and transfer reporting, effective management of backorders, and strong communication between Planning, Procurement, Logistics, and Warehouse Operations.
