Summary :
The Meals on Wheels Manager is a dedicated and organized leader responsible for overseeing the daily operation of the Meals on Wheels program. This position leads staff and volunteers to deliver high-quality nutrition services to older adults and individuals with disabilities. The manager ensures efficient program operations, contract and grant compliance, exceptional client service, and continuous program improvement while supporting the success and growth of the Meals on Wheels program.
Essential Duties and Responsibilities :
- Supervise, train, and support Meals on Wheels staff and volunteers, ensuring effective scheduling, professional development, and performance management
- Oversee daily operations including meal delivery coordination, client services, and emergency meal distribution
- Maintain an on-site presence during scheduled meal delivery operations, typically Tuesday through Friday, to provide leadership, support staff and volunteers, address operational issues, and ensure efficient execution of meal packaging and delivery activities
- Develop and maintain standard operating procedures and ensure compliance with all contracts and grants including reporting requirements
- Collaborate with administrative staff and drivers to ensure seamless program support
- Address high-level client concerns, including grievances, service issues, and requests for special accommodation
- Coordinate special events and large-scale service activities, including the annual Thanksgiving meal delivery
- Provide input into the development and monitoring of the Meals on Wheels program budget to ensure fiscal responsibility and achievement of budget targets
- Facilitate department meetings including development of meeting agendas, documentation, and follow-up activities
- Employ creative problem solving to ensure effective, efficient, equitable service for all clients
- Assist the Program Coordinator with monthly department cash count and month-end reporting
- Assist with coordination of fleet maintenance
- Track and manage client volume, route capacity, and funding source utilization to optimize service delivery
- Provide occasional direct support for delivery operations, including meal packaging and meal delivery
- Other duties as assigned

Qualifications
Minimum Qualifications :
- Two (2) years supervisory or team leadership experience
- Demonstrated ability to foster teamwork, collaboration, and cooperation among staff and volunteers
- Current Washington State Food Handler’s card
- Strong verbal and written communication skills with diverse audience
- Proficiency in Microsoft Office applications and the ability to become proficient in department software systems, including Salesforce
Absent any regulatory or contractual requirement for specific education/certification, other combinations of applicable education, training, and experience which provide the knowledge, skills, and abilities necessary to perform effectively in the position may be considered.
Preferred Qualifications :
- Bachelor’s degree in nutrition, gerontology, public health, human services, or a related field
- Experience working with older adults and/or disabled individuals
- Experience serving culturally diverse communities
- Fluency in a language other than English
- Experience with contract management, regulatory compliance, and grant reporting
Work Environment and Physical Demands:
- Primarily on-site and office-based, with occasional work conducted in warehouse, meal staging, and cold storage environments
- Regular in-office presence is required on meal delivery days, typically Tuesday through Friday, to support program operations, staff oversight, and service delivery
- Operation of an agency-owned and/or personal vehicle may occasionally be required
- Occasional bending, lifting, carrying, and moving materials up to twenty-five pounds
- Occasional evening, weekend, or holiday work may be required
- Occasional travel for conferences, trainings, meetings, and professional development activities may be required

SUMMARY OF BENEFITS
Employees working 25 hours or more are eligible to enroll in medical, dental, vision, basic life, and critical illness insurance, with an increased cost share for employees scheduled for 25-29 hours/week. Employees working 20 hours or more per week receive 11 designated paid holidays plus 2 "floating holidays" per year, as well as paid vacation and sick time. Employees age 21 and older are able to enroll in our 401K plan upon hire and, after one year and at least 1000 hours worked, will be eligible for our matching program.
This role is budgeted to start in the $78,000-80,000 salary range, depending upon experience.
