What this job involves:
As a Project Quality Audit Coordinator at JLL, you'll serve as the foundation of our project quality assurance framework, providing critical support through systematic audits, comprehensive documentation reviews, and reliable quality assessments. In this role, you'll execute detailed project audits from initiation to closure, following established risk assessment criteria while maintaining the meticulous attention to detail that ensures all projects meet organizational standards. You'll work across multiple project management platforms—including AdaptiveWork, Ingenious, Smartsheet, and SharePoint—conducting Spot Check evaluations that assess documentation quality, information completeness, and compliance requirements. Your systematic approach will enable project efficiency by providing audit support that facilitates smooth operations and quality visibility across all regional activities. You'll coordinate with Senior Project Coordinators for quality review validation, support project managers with documentation organization requirements, and maintain organized audit deliverables that contribute to overall project management effectiveness. What your day-to-day will look like:
- Execute systematic project audits across all project phases from initiation to closure, following established procedures and risk assessment criteria to ensure comprehensive quality evaluation
- Complete Spot Check templates with accurate grading based on information availability, documentation quality, and compliance with organizational standards
- Review project documents across AdaptiveWork, SharePoint, and document repositories to verify completeness, accuracy, and adherence to quality requirements
- Coordinate with project teams to ensure proper audit timing, understand documentation requirements, and provide tailored quality support throughout project lifecycles
- Update project information sections in Spot Check templates with relevant findings, quality assessments, and compliance verification details
- Submit completed Spot Check templates to Senior Project Coordinators for first-level quality review and validation, ensuring audit accuracy and completeness
- Maintain systematic documentation of audit activities, quality assessments, and process completion tracking in SharePoint repositories following established organizational procedures
- Support coordination activities with team leaders for strategic project quality assessments and assist with periodic reporting requirements and audit trend analysis
Required qualifications:
- Bachelor's degree in Business Administration, Project Management, Information Management, Quality Management, or related field (Associates degree with relevant focus considered with additional experience)
- 2-4 years of experience in project coordination, documentation management, audit oversight, or quality assurance roles in professional services or corporate environments
- Proficiency with enterprise project management platforms including AdaptiveWork, Ingenious, Smartsheet, or Microsoft Project with audit capabilities
- Advanced SharePoint and Microsoft Teams experience for enterprise-level document management, file organization oversight, and collaborative audit coordination
- Understanding of Spot Check methodology, grading systems, quality assessment criteria, and audit documentation processes
- Exceptional attention to detail with ability to conduct accurate project evaluations and maintain systematic approach to quality activities
- Strong ability to navigate multiple project management platforms simultaneously and follow established audit procedures consistently
- Clear communication skills for effective coordination with project teams and cross-functional stakeholders while maintaining professional demeanor and information sensitivity
Preferred qualifications:
- Project Management certifications such as PMP, CAPM, or project coordination credentials
- Quality certifications including Six Sigma, quality assurance credentials, or audit certifications demonstrating commitment to excellence
- Experience with quality audits, process evaluation, or systematic review processes in professional services environments
- Commercial real estate industry knowledge including understanding of CRE project processes, documentation requirements, or industry terminology
- Advanced bilingual capabilities (English/Spanish) for comprehensive regional coordination and stakeholder management support
- Experience with compliance tracking platforms, audit systems, and quality management tools that support systematic process documentation
