Job Description

Admissions & Recruitment Officer

Location:  Vientiane
Reports to:  Admissions & Marketing Manager
Employment Type:  Full-Time

Position Overview

To convert prospective students and parents into enrolled SHV students through professional counselling, timely follow-up, and clear explanation of SHV programmes and pathway options.

Key Responsibilities

Enquiry Handling

- Respond promptly to all enquiries (phone, email, social media, walk-ins)

- Explain programmes clearly to students and parents

- Conduct initial consultations with prospective students and parents

- Follow up with potential students

- Track enquiry status within CRM or admissions database

Application Processing

- Guide applicants through the application process

- Review submitted documentation for completeness

- Prepare offer letters

- Coordinate with Academic team for eligibility

Enrolment Support

- Assist students with enrolment procedures

- Address parent concerns and questions

- Track tuition payment coordination

- Maintain updated student database

- Coordinate enrolment documentation and fee payment process

- Ensure smooth onboarding into academic programme

Records & Compliance

- Record and update all enquiries in the CRM / tracking system.

- Track lead source, campaign source, and pipeline stage.

- Maintain accurate student files (digital and physical)

- Flag uncontacted or overdue follow-ups to line manager.

- Support application document checklist tracking.

- Maintain clean data and remove duplicate records.

- Coordinate reporting for marketing ROI and admissions conversion analysis.

- Ensure confidentiality of applicant information

- Prepare admissions reports as requested

- Support audit or partner documentation requirements

- Number of enquiries handled

- Response time to enquiries

- Follow-up completion rate

- CRM data accuracy

- Lead-to-application conversion rate

- Application-to-enrolment conversion rate

- Accuracy and completeness of admissions documentation

Requirements

- Diploma or Bachelor’s degree in Business Administration, IT, Marketing, or related field.

- 1–3+ years in admin, data entry, sales support, call centre, or CRM support roles.

- Experience in the education sector is preferred.

- Strong attention to detail and comfort with spreadsheets/system data.

- Good communication skills in Lao and basic English.

- Reliable, organised, and disciplined.

- Strong interpersonal skills and confidence speaking with parents/students.

- Organised and detail-oriented

- Comfortable using Microsoft Office, messaging tools, and CRM systems.
