Join Our Team at Lutheran Village at Miller's Grant!  We’ re currently seeking a dedicated (Full-Time or Part- Time Office Manager) to become part of our caring and mission-driven community. This position will be (days of week worked), (shift worked) and with (on-call status).

The Office Manager is responsible for supervising the Support Services Department, including the Office Assistants and Concierge Team, while providing direct administrative support to the Executive Director. This role ensures the efficient operation of office functions, including the maintenance of office equipment, management of office supply inventory, and oversight of team performance through guidance, training, and support.

What You’ll Do as an LVMG Office Manager:

- Ensure the office and concierge areas are clean, safe, and well stocked with necessary equipment and supplies.

- Supervise the Support Services Department, including staffing, performance evaluations, hiring, terminations, and training compliance.

- Provide backup support for clerical staff as needed due to absences, workload, or emergencies.

- Oversee day-to-day business office operations and ensure compliance with established policies and procedures.

- Manage resident databases and the distribution of information; maintain systems such   as internal communications, emergency protocols, and staff programs.

- Provide administrative support to the Executive Director, including managing contracts, vendor forms, and operational projects.

- Serve as a backup for telephone system operations and coordinate with IT and Verizon as necessary.

- Support planning and coordination of community events and programs.

- Oversee mailroom operations and coordinate with the post office and internal teams.

- Manage guestroom bookings, track usage, and submit monthly reports to Finance; oversee scheduling for other spaces and programs.

- Prepare the annual Support Services budget, including staffing, operations, and capital requests.

- Process and approve purchase orders, code invoices accurately, and support billing   processes for multiple departments as directed.

- Consult with department heads to identify and resolve administrative needs or service improvements.

- Interpret and communicate facility policies to staff, residents, families, and visitors as needed.

- Assist in developing and maintaining administrative documents such as policies, procedures, and job descriptions.

- Respond to resident inquiries and concerns, escalating to appropriate personnel when necessary.

- Participate in and deliver in-service education, orientation, and training for Support   Services personnel related to office procedures and equipment.

- Perform additional duties as assigned.

Qualifications

What You’ll Need as a   Office Manager:

Education |  Experience

- High school diploma or equivalent required; associate or bachelor’s degree  preferred.

- Minimum   of three   years of   administrative   experience,   with   demonstrated   ability   to  perform and oversee administrative functions.

- Supervisory experience (minimum of three years) preferred, including managing and developing support staff.

Knowledge, Skills and  Abilities

- Demonstrated discretion, professionalism, and sound judgment in handling  sensitive   and confidential matters.

- Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively and tactfully with individuals at all levels, including residents, staff, families, external vendors/authorities, and the public.

- Strong attention to detail in writing, proofreading, managing priorities, and meeting deadlines in a fast-paced environment.

- Proven ability to work both independently and collaboratively within a team environment, demonstrating a cooperative, respectful, and compassionate approach to colleagues and resident care.

- Skilled in the use of standard office equipment and  technology.

- Maintains professionalism, composure, and a positive attitude when  managing   challenging  situations.

- Physically able to move throughout the workday and lift items up to 30 pounds using safe handling practices.

- May be necessary to assist with resident evacuation during emergency  situations.

- Complies with organizational health and safety requirements, including vaccination policies or valid exemptions.
