Job Overview

This is a full-time, hybrid Account Assistant role based in Accra. The Account Assistant will support day-to-day accounting
operations, including posting transactions, reconciling accounts, and maintaining accurate financial records.
Responsibilities include managing petty cash, assisting with credit control activities such as following up on outstanding
payments, and preparing basic financial reports and summaries for management review. The role also involves
supporting payroll and invoicing processes, filing and organizing financial documentation, and collaborating with internal
teams to resolve account queries. The Account Assistant will communicate with suppliers, clients, and colleagues to
ensure timely processing of payments and receipts and adherence to company policies.

Key Responsibilities

Billing & Invoicing

- Generate and issue accurate client invoices in a timely manner
- Track billing milestones against contracts or project timelines
- Maintain and update billing records in Zoho Books (or similar accounting software)
Credit Control & Receivables

- Monitor accounts receivable and track outstanding payments
- Follow up with clients on overdue accounts to ensure timely collections
- Reconcile payments received against invoices issued
Financial Record-Keeping

- Maintain accurate and up-to-date financial records using cloud-based accounting software (Zoho Books,
QuickBooks Online, Xero, or Sage)
- Support month-end and reporting processes with accurate transaction data
- Assist with basic bookkeeping tasks (data entry, expense tracking, filing)

Stakeholder Communication

- Liaise with clients, suppliers, and internal teams to resolve billing or payment queries
- Provide regular updates to management on receivables status
- Coordinate with the finance/consulting team on invoicing schedules
Administrative Support

- Assist with general accounting administrative duties as needed
- Support audits or financial reviews by organizing relevant documentation
- Ensure compliance with internal financial policies and procedures
- Draft and manage contracts for clients and staff
- File and track employee records

Requirements

- Mininum 1 year experience in an accounting or finance support role.
- Diploma or degree in Accounting, Finance, Business Administration, or a related field.
Strong foundation in bookkeeping, ledger management, and financial reporting.
- Experience with Zoho Books or similar cloud-based accounting software (e.g., QuickBooks Online, Xero, Sage
Business Cloud Accounting).
- Experience generating accurate client invoices, tracking billing milestones, and managing billing records
- Background in credit control, including monitoring receivables and following up on overdue accounts.
- Comfortable managing petty cash, including cash handling, recording, and reconciliation.
- Strong communication skills to interact effectively with clients, suppliers, and internal stakeholders.
- Proficiency with MS Excel or similar spreadsheet tools.
- High attention to detail, numerical accuracy, and time management abilities.
- Prior experience in a professional services environment (HR services, consulting, law, advisory, hospitality,
finance, insurance or related)
