About this role
Position Summary
Serves as receptionist, ensuring the smooth flow of patients through the clinic. Responsible for all scheduling correspondence, including appointments, messages and other requests in an efficient and accurate manner, both in person and over the telephone. Obtains and furnishes information from other departments, patients and the public.
Work Schedule
Monday through Friday, day shift, flexible; 40 hr/week.
Primary Duties
1. Books, coordinates, and reschedules patients’ appointments. Relays necessary messages to staff.
2. Maintains and updates current information on all physicians’ schedules ensuring that patients are scheduled properly and appointments are confirmed.
3. Prepares and mails new patient packet when appointment is scheduled for three days or more in advance.
4. Verifies patient demographic and insurance information with each patient. Corrects information if necessary. Informs patient of account balance if appropriate.
5. Answers incoming calls in a courteous manner, determines needed information and directs calls accordingly.
6. Reminds patients of needed information in advance of appointment, including insurance cards, all medications and an authorization from their insurance company if required.
7. Collects payments from patients and forwards information to the Business Office.
8. Oversees clinic waiting area and patient flow. Reports concerns to Clinic Manager.
9. Disposes of patient information in a proper manner to ensure confidentiality.
10. Works in other offices as needed.
11. Other assigned duties as directed by supervisor based on demonstrated competency.

Qualifications/Specifications
- Education: High School diploma required or equivalent.
- Licensure/Certification: None required.
- Experience: Minimum of two years work experience in a medical office setting preferred. Knowledge of medical office terminology desirable. Must have proficient computer skills.
