About the position:

We are looking for a friendly, proactive, and well-organized Office Administrator to join our team in Vilnius. As our Office Administrator, you’ll be at the heart of our Vilnius office, helping create a welcoming, well-organized and enjoyable environment for our team and visitors.

This is a great opportunity for someone eager to learn, take ownership of administrative tasks and support colleagues in an international environment.

Your key responsibilities:

- Welcoming visitors and ensuring they feel supported and connected with right people;

- Keeping our office running smoothly by coordinating meeting rooms, office supplies, mail & incoming calls, correspondence and day-to-day office needs;

- Working with our vendors and service providers to ensure the office remains a comfortable and well-maintained place to work;

- Coordinating business travel arrangements and related documentation;

- Bring our team together by supporting internal events, celebrations, team activities and other company initiatives.

- Assisting international colleagues with migration related administration by coordinating documents, deadlines, employees and external partners;

- Support employee lifecycle administration: including preparing, collecting, filing, and updating required documents;

- Keep things organized and up to date by maintaining accurate records and ensuring administrative information is up to date;

- Be the go-to person for everyday office matters, proactively supporting colleagues and helping solve practical day-to-day needs.

What we expect from you:

- A college or university degree, or ongoing studies in a relevant field;

- Excellent written and verbal communication skills;

- Fluency in Lithuanian and English;

- Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook;

- Good organizational and time-management skills;

- A helpful, service-oriented, and positive attitude;

- Reliability, diligence, and strong attention to detail;

- Willingness to learn and take responsibility for assigned tasks;

- Previous experience in administration, customer service, HR support, or a similar field would be an advantage but is not required;

- Availability to work in a 0.75 FTE position;

- Willingness to work primarily from our office at Ukmergės str. 126, Vilnius, with the option to work remotely once per week.
