The Payroll Specialist is responsible for the accurate and timely processing of payroll for approximately 400 employees working in commercial construction. This position ensures compliance with federal, state, and local payroll regulations, union payroll, multi-state payroll, and construction-specific payroll reporting. The Payroll Specialist works closely with Human Resources, Project Managers, Accounting, and field supervisors to maintain payroll accuracy and compliance.
As a Payroll Specialist, you will serve in the following areas:
- Process weekly payroll for approximately 400 employees.
- Review and audit employee timecards, labor allocations, job costing, and payroll data for accuracy.
- Process payroll adjustments including bonuses, reimbursements, deductions, garnishments, and retroactive pay.
- Ensure accurate allocation of labor costs to projects and cost codes.
- Prepare and submit certified payroll reports for prevailing wage projects.
- Maintain compliance with federal, state, and local wage and hour laws, including Davis-Bacon requirements where applicable.
- Process union payroll, union dues, fringe benefits, and related reporting, if applicable.
- Administer wage garnishments, child support orders, tax levies, and other involuntary deductions.
- Process new hires, terminations, pay rate changes, promotions, and employee status changes within the payroll system.
- Reconcile payroll prior to transmission and validate payroll reports.
- Ensure timely payment of payroll taxes and filing of required payroll tax reports.
- Prepare quarterly and annual payroll reporting, including W-2 processing.
- Assist with audits by providing payroll records and supporting documentation.
- Respond to employee inquiries regarding pay, deductions, taxes, and timekeeping.
- Maintain confidentiality of employee payroll information.
- Partner with Human Resources regarding benefits deductions, leave tracking, and employee records.
- Maintain payroll files and documentation in accordance with company policies and legal requirements.
- Recommend process improvements to increase payroll accuracy and efficiency.
- Perform other duties as assigned.
