About this role

The Procurement Associate is responsible for assisting in the procurement of office or site operations items, inventory management including but not limited to keeping track, dispatching, and ordering.
 
The role is responsible for monitoring adequate stock levels in the warehouse for ongoing and upcoming projects, deal with external couriers or parties in terms of keeping these stock levels adequate as well as following up or ask for the progress of items ordered and delivery schedules.

Duties and responsibilities:

- Research and identify reliable suppliers to source quality products and materials at the best value

- Evaluate potential suppliers, vendors, and service providers based on quality, cost, and reliability

- Negotiate pricing, terms, and conditions with suppliers on behalf of the company

- Process, place, and monitor purchase orders requested by various departments

- Ensure goods and services are delivered on time and match specifications

- Coordinate and ensure compliance with international shipping, customs, and importation requirements

- Build and maintain strong relationships with suppliers and vendors

- Evaluate supplier performance based on quality, delivery, and reliability

- Resolve disputes or issues related to orders, deliveries, or invoices

- Analyze market trends and pricing to identify cost-saving opportunities

- Compare quotes and proposals from multiple vendors

- Monitor budget compliance for procurement activities

- Track and report on cost savings achieved through negotiations

- Review, and manage supplier contracts and agreements with Procurement Manager

- Ensure contract terms comply with legal and company requirements

- Monitor contract renewals, expirations, and compliance

- Coordinate effectively with internal departments, suppliers, and other external stakeholders

- Ensure timely availability of requested materials to support uninterrupted business and implementation operations

- Immediately report inventory discrepancies, shortages, or irregularities to the Procurement Manager or immediate supervisor

- Ensure all procurement activities comply with company policies and legal regulations

- Maintain accurate records of purchases, contracts, and supplier information

- Prepare accurate procurement reports and supporting documentation for audits and regular reporting

- Analyze purchasing data to identify trends and improvement opportunities

- Recommend process improvements to increase efficiency

Qualifications:

- Bachelor's degree in Business, Supply Chain Management, or related field

- 2–5 years of experience in procurement or purchasing

- Strong negotiation and analytical skills

- Proficiency in procurement software/ERP systems (SAP, Oracle, etc.)

- Excellent communication and relationship-management abilities

- Knowledge of contract law, customs/import regulations, and procurement compliance is a plus

Preffered

- Experience in dealing with Vendors

- Experience in domestic and/or international shipping

- Can start ASAP
