Logistics Supervisor / Logistics Executive – Roles & Responsibilities

1. Daily Logistics Operations

- Supervise and coordinate day-to-day inbound and outbound logistics activities.
- Plan and execute dispatches as per customer requirements, order priorities and defined schedules.
- Ensure timely movement of materials from warehouse/CNF locations to customers and distribution points.
- Monitor pending dispatches, delivery schedules and operational exceptions.
- Ensure smooth coordination between warehouse, logistics, sales and customer service teams.

2. Transportation & Vehicle Management

- Coordinate with transporters for timely vehicle placement and dispatch execution.
- Plan vehicles based on shipment volume, route, destination and load requirements.
- Monitor vehicle reporting, loading, departure and delivery status.
- Track vehicle utilisation and load optimisation to improve transportation efficiency.
- Resolve transporter-related issues such as vehicle delays, driver issues, route deviations and delivery delays.
- Maintain transporter performance records and escalate recurring service issues.

3. Dispatch & Delivery Management

- Ensure dispatches are executed as per approved schedules and customer requirements.
- Coordinate with warehouse teams for material readiness, picking, loading and dispatch.
- Monitor shipment movement until successful delivery.
- Track delayed, pending and exception shipments and take corrective action.
- Ensure achievement of defined OTIF (On-Time In-Full) and delivery performance targets.
Current logistics roles commonly include dispatch planning, vehicle placement, transporter coordination and OTIF monitoring.
### 4. Logistics Documentation

- Verify and maintain invoices, delivery challans, E-way Bills, LR/GR, POD and other transport documents.
- Ensure all required documents are available before vehicle dispatch.
- Follow up with transporters for pending PODs and delivery documents.
- Maintain accurate shipment-wise documentation and records.
- Ensure documentation compliance as per company SOP and statutory requirements.

5. Warehouse & Inventory Coordination

- Coordinate with warehouse/CNF teams for inward, outward, stock movement and dispatch activities.
- Monitor physical and system stock movement and report discrepancies.
- Ensure materials are available and ready for dispatch as per customer requirements.
- Coordinate stock transfers and inter-location movements.
- Support stock reconciliation, physical verification and inventory audits.
SAP-based logistics roles commonly include GRN, stock transfers, material movements, inventory reconciliation and system-to-physical stock accuracy.
### 6. SAP / ERP / TMS Operations

- Update and maintain logistics transactions in SAP/ERP/TMS systems.
- Monitor delivery, dispatch, stock movement and transportation-related transactions.
- Ensure accuracy of system data against physical/logistics documents.
- Track pending transactions and coordinate with concerned teams for timely closure.
- Support system/process changes and ensure adherence to defined workflows.

7. Transporter & 3PL Management

- Coordinate with transporters, 3PL partners, drivers and logistics service providers.
- Monitor transporter performance against agreed SLAs and service standards.
- Follow up on vehicle placement, delivery performance, POD submission and service issues.
- Identify recurring transporter issues and implement corrective actions.
- Support transporter performance reviews and cost/service improvement initiatives.

8. Freight & Cost Control

- Monitor transportation and freight costs.
- Analyse route-wise and transporter-wise freight performance.
- Support route optimisation and load consolidation to reduce logistics costs.
- Identify opportunities for cost savings without affecting service levels.
- Validate transporter bills and supporting documents before submission for payment.
Cost optimisation, route planning, load utilisation and transporter performance are also highlighted in current logistics roles.
### 9. MIS & Reporting

- Prepare daily, weekly and monthly logistics MIS reports.
- Monitor dispatch status, pending orders, vehicle placement, delivery status and POD pendency.
- Prepare OTIF, transporter performance, freight and shipment-related reports.
- Analyse operational data and highlight deviations to management.
- Maintain accurate logistics trackers and ensure timely reporting.

10. Team Supervision

- Allocate daily activities to logistics/dispatch team members based on operational requirements.
- Supervise team performance and ensure completion of assigned activities within timelines.
- Guide team members on documentation, dispatch processes and SOP compliance.
- Support training and development of logistics personnel.
- Maintain discipline, coordination and accountability within the team.

11. Customer & Internal Coordination

- Coordinate with Sales, Warehouse, Finance, Billing, Supply Chain and Customer Service teams.
- Provide shipment and delivery status updates to internal stakeholders.
- Handle customer delivery-related queries and coordinate resolution.
- Support urgent and priority dispatch requirements.
- Escalate critical delays, shortages, damages and service failures to management.

12. Compliance, Safety & Process Adherence

- Ensure compliance with company logistics SOPs and statutory requirements.
- Ensure proper documentation for all material movements.
- Monitor safe loading, unloading and transportation practices.
- Ensure compliance with GST, E-way Bill and other applicable transportation requirements.
- Support internal/customer audits and maintain required records.

13. Problem Solving & Continuous Improvement

- Identify operational bottlenecks affecting dispatch and delivery performance.
- Analyse root causes of delays, damages, shortages and transportation failures.
- Implement corrective and preventive actions.
- Improve logistics processes, turnaround time and service quality.
- Recommend process improvements for better productivity and cost efficiency.

### Overall Accountability
Responsible for supervising end-to-end logistics operations including dispatch planning, transportation coordination, vehicle placement, transporter/3PL management, warehouse coordination, documentation, SAP/ERP transactions, delivery tracking, OTIF performance, MIS reporting, freight cost control and timely resolution of operational issues.
