JOB BRIEF
The Project Coordinator is responsible for assisting and supporting the General Manager with the day-to day administration of the Association and the Facilities and Chiller entity pursuant to this job description, the management agreements, the Declaration and Bylaws and the objectives of the Board of Directors, as well as the Reciprocal Agreement for the shared Facilities.
When other management staff members are absent or not available, the Project Coordinator is expected to perform, to the best of his or her ability and good judgment, their duties. The Project Coordinator should become familiar with the basic legal documents of the Illinois Condominium Property Act, and the federal, state and local laws. The Project Coordinator should have excellent multi-tasking, communication, project, and customer service skills and know the basic fundamentals of budgeting and accounting.
The Project Coordinator shall work onsite in the Management office posted hours which are currently Mondays, Wednesdays, and Fridays from 9:00 a.m. until 5:00 p.m. and Tuesdays and Thursdays from 11:00 a.m. until 7:00 p.m.
GENERAL
Conduct all business in accordance with the Associa Chicagoland and the Associations policies and procedures, fair housing, Americans with Disabilities Act, and all other laws pertaining to condominiums.
Promote the Association and Facilities/Chiller entities as first-class properties and support the reputation of the managing agent.
Respond to emergencies as needed.
Maintain strict confidentiality of all unit owner, resident, employee, entity owner, and property information.
Endeavor to provide competent, prompt, and courteous customer service, including conflict resolution to all unit owners, residents, guests, and entity owners.
Assist in answering incoming calls, take messages, and/or forward calls to the appropriate party promptly and provide follow up.
Maintain a neat and orderly workspace including paper and scanned files.
Present oneself in appropriate work attire.

Requirements

The Project Coordinator shall have proficient knowledge of the following:
Construction and computer/technology projects
Accounting, Financials, Payroll, and Budgeting
Microsoft Office products (Word, Excel, Outlook, Publisher, etc.)
Communities/property/real estate and common interest communities or associations
Typical business correspondence (grammar, structure, punctuation, spelling, etc.)
