Major responsibilities
- Provide administrative support to the Facilities Management team and serve as the key document controller for the team's SharePoint and related systems.
- Liaise and collaborate with internal stakeholders and facilities management service providers to ensure effective service delivery.
- Manage users' service requests and maintenance work orders through DFI's in-house systems.
- Coordinate and follow up on emergency repair requests to ensure timely resolution.
- Maintain maintenance records, schedules, and documentation, and issue communications or memos to stakeholders as required.
- Raise purchase orders in accordance with company procedures.
- Process and administer invoice payments, ensuring accuracy and timely submission.
- Prepare routine reports, dashboards, and updates for management review.
- Monitor inventory levels and coordinate replenishment of facilities-related consumables.
- Support workplace moves and seating arrangements.
- Perform other ad hoc duties and projects as assigned by the Facilities Management team.
Do you have experience in Facilities Management?
- Diploma or Bachelor's degree in any discipline. Fresh graduates are welcome to apply.
- Candidates that can demonstrate how their skills and experiences can support Facilities Management service excellence and continuous improvement.
- 1 to 2 years of relevant working experience in administration, facilities management, or related fields will be an advantage.
- Excellent communication and interpersonal skills, with the ability to work effectively with stakeholders at all levels.
- Positive attitude and willingness to learn both technical and non-technical aspects of facilities management.
- Strong interest in facilities operations and a desire to contribute to continuous service improvement initiatives.
- Interest in Artificial Intelligence (AI), ESG, digitalization, or process improvement initiatives will be an advantage.
- Self-motivated, proactive, and eager to develop a career within the Facilities Management industry.
- Looking for long-term growth opportunities within a dynamic and multi-functional FMCG environment.
- Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Chinese word processing.
- Comfortable with learning and adopting new systems, technologies, and AI-enabled tools.
- Good command of both written and spoken English and Chinese (Cantonese and Mandarin preferred).
