PrideStaff is assisting a Palm Beach municipality with recruitment for an Assistant Town Clerk , who will work alongside the Town Clerk in managing, coordinating, and executing the daily administrative, legal, and operational functions of the Town Clerk’s Office. Core Responsibilities : Prepares Town Council agendas and packets, transcribes meeting minutes, manages municipal election processes, and handles public records requests in compliance with Florida statutes. Board & Committee Administration : Oversees the recruitment, onboarding, binder preparation, semi-annual goals, bi-annual ethics training, and annual appreciation luncheon for boards and committees. Operational & Legal Duties : Publishes legal advertisements, notarizes documents, administers oaths of office, updates website content and newsletters, and assists with departmental budget preparation and monitoring. Leadership & Supervisory Role : Serves as acting Town Clerk in their absence, supervising staff, approving timesheets, exercising independent judgment, and receiving legal documents. Required Qualifications : Bachelor’s degree in Records Management, Public Administration, Business Administration, or a related field (or equivalent experience); 3 years of experience in records and office management; a valid driver’s license. Preferred Qualifications : Certified Municipal Clerk (CMC) designation, prior experience with Florida local government and election procedures, Software/Systems : The position requires strong day-to-day proficiency with Microsoft Office, particularly Word, Excel, Outlook, and PDF/document-management tools . Experience with municipal agenda-management or meeting-management software would be highly desirable . The candidate should be comfortable learning specialized systems used to prepare agendas, meeting packets, minutes, and public-facing meeting materials.
MUST HAVES: Strong written communication — able to listen to a live discussion and produce an accurate, well-organized written summary (not transcription). This is the No. 1 skill for this role. High attention to detail in long, formatted documents (proofing, records, correspondence). Comfortable handling records/documents that are subject to public disclosure (e.g., legal, government, healthcare compliance, or similar records-handling background). Able to work independently with minimal real-time supervision in a small office. Taking detailed feedback/edits on written work well and applying it without much back-and-forth.
