Job Title: Business Operations Specialist Job Description The Business Operations Specialist plays a critical role in supporting licensed product workflows, artwork approvals, and operational processes related to corporate sales and licensing programs. This position serves as a key liaison between Sales, Licensing, Creative, Master Data, and Customization teams to ensure licensed products are accurately approved, configured, and made available for customer orders. The ideal candidate is highly detail-oriented, organized, and capable of managing multiple projects simultaneously in a fast-paced environment. This role focuses on process execution, data accuracy, workflow coordination, and stakeholder communication rather than business development or research activities. Responsibilities

- Submit pending licensed product quotes through third-party licensing portals for licensor review and approval.
- Monitor and manage quote submissions using Salesforce and internal tracking tools.
- Communicate approval statuses, royalty-bearing determinations, and artwork revision requirements to internal stakeholders.
- Collaborate with sales representatives to address licensor questions and resolve submission-related issues.
- Maintain accurate records throughout the approval process.
- Coordinate artwork proof requests and SVG file creation with creative teams using established templates and processes.
- Submit product proofs to licensors through licensing platforms such as BrandComply, BM360, Flowhaven, and similar systems.
- Maintain and update licensing approval matrices utilized across multiple departments.
- Prepare detailed master data requests for licensed embellishments and SKU creation, ensuring accuracy of royalty rates, product pricing, existing embellishment information, and SKU setup requirements.
- Organize and distribute approved SVG assets to customization teams once product setup is complete.
- Perform quality assurance reviews to verify SKU configurations and artwork files are correctly established.
- Partner with Master Data and Customization teams to troubleshoot and resolve setup issues.
- Manage product approval workflows through licensing dashboards and customer-facing review platforms.
- Review incoming licensed product requests and coordinate artwork proof development.
- Submit artwork packages and supporting documentation for customer and licensor review.
- Enter and validate required information for workflow processing and approval.
- Track approvals through completion to ensure orders are eligible for production and fulfillment.
- Serve as a point of contact between Sales, Licensing, Creative, Master Data, and Customization teams.
- Ensure timely communication and follow-through on open items.
- Support operational improvements that enhance workflow accuracy and efficiency.
- Assist in resolving customer and internal stakeholder issues related to licensed products and order processing.

Essential Skills

- Strong attention to detail and the ability to manage quotes, orders, artwork approvals, and customer information accurately.
- Ability to manage multiple priorities, follow through on open items, and respond effectively in a fast-paced environment.
- Customer-focused problem-solving skills and comfort coordinating across multiple internal teams.
- Proficiency in a CRM tool, preferably Salesforce.
- 1+ year of customer management, client management, or similar.
- Willing to work independently with little to no direction.
- 2+ years in MS Excel, data entry, customer service, front desk, clerical, data, administrative support, Microsoft Office.
- Strong organizational and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to collaborate effectively across multiple departments and stakeholders.

Work Environment This is a fully remote role (BASED IN TEXAS) with normal business hours (Monday to Friday, 8am-5pm, with some flexibility). You can work from anywhere, but a professional setting is preferred. There is a rolling contract opportunity that could become a long-term engagement, with the average tenure being 2.5+ years. This is a Contract position based out of Austin, TX.
Pay and Benefits
The pay range for this position is $16.00 - $18.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
