About the Role
We're looking for a highly organised and proactive Talent Acquisition Coordinator to join our growing Talent Acquisition team. This role will focus on two key areas: keeping candidates engaged throughout the recruitment journey and managing our pipeline of agency candidates so our Talent Acquisition team can spend maximum time proactively sourcing and hunting for talent internally.
You will play a central role in keeping recruitment moving at pace. From coordinating candidate communication and interview logistics through to tracking agency submissions, managing pipeline updates, and supporting candidate onboarding, your work will help create a smooth, professional, and engaging experience for candidates, hiring managers, agencies, and new starters.

Key Responsibilities
· Act as a key point of contact for candidates, ensuring they receive timely, clear, and engaging communication throughout the recruitment process.
· Manage the flow of agency candidates through the recruitment pipeline, ensuring submissions are reviewed, tracked, updated, and progressed efficiently.
· Maintain accurate candidate records in the ATS, ensuring agency ownership, candidate status, interview stages, and next steps are clearly recorded.
· Coordinate interviews between candidates, hiring managers, Talent Acquisition, and external agencies.
· Support candidate engagement activity, including follow-ups, reminders, feedback coordination, and keeping warm communication for active pipelines.
· Help reduce administrative workload for Talent Acquisition Partners so they can focus more time on proactive internal sourcing and direct candidate attraction.
· Support offer coordination, pre-employment checks, right to work documentation, and onboarding administration.
· Work closely with People Operations to ensure successful candidates have a smooth handover into onboarding and recruitment are updated.
· Provide regular pipeline updates to Talent Acquisition, highlighting blockers, overdue actions, candidate risks, and agency follow-ups required.
· Contribute to improving recruitment processes, candidate experience, agency management, and onboarding workflows.
What We Need to See From You
· Experience in recruitment coordination, HR administration, agency coordination, customer service, sales support, or another fast-paced administrative role.
· Excellent organisation skills with the ability to manage multiple priorities, candidates, agencies, and hiring processes at the same time.
· Strong written and verbal communication skills with a confident, friendly, and professional style.
· A candidate-first mindset and a genuine interest in creating a positive recruitment experience.
· High attention to detail, especially when updating systems, tracking pipeline activity, and managing sensitive candidate information.
· Confidence using systems such as an ATS, Outlook, Excel, Teams, or similar tools.
· Ability to chase actions, follow up with stakeholders, and keep processes moving without losing quality.
· Comfortable working with external agencies and maintaining clear, professional relationships.
· Discretion and professionalism when handling confidential information.
· A proactive attitude, strong sense of ownership, and willingness to improve how things work.
